Position Overview
The Workflow Optimization Manager is responsible for driving continuous improvement in clinical workflows and departmental policies by utilizing data-driven insights and fostering cross-functional collaboration. The goal is to enhance operational efficiency and support the delivery of exceptional patient care, all in alignment with Lumata’s strategic objectives.

Essential Functions
Workflow Analysis and Improvement
- Conduct comprehensive assessments of current workflows to identify inefficiencies and opportunities for improvement.
- Design and implement optimized workflows to enhance productivity, clinical accuracy, and overall operational efficiency.
- Track and measure the impact of workflow changes on team performance and patient outcomes.
Policy Development and Implementation
- Collaborate with the Clinical Compliance Officer, HR, and other stakeholders to develop, update, and communicate departmental workflows and policies related to product changes, ensuring compliance with organizational standards and regulatory requirements.
- Ensure that all updated policies are effectively communicated, documented, and that necessary training is provided to impacted teams.
Strategic Planning and Program Development
- Develop and implement clinical programs that align with Lumata’s strategic goals, focusing on improving patient care quality and operational efficiency.
- Conduct market research and analyze industry trends to identify opportunities for new programs or improvements to existing ones.
- Define clear program objectives, timelines, and success metrics to measure the impact.
Project Management and Execution
- Lead the execution of clinical strategy projects, ensuring alignment with business goals, timelines, and budgets.
- Coordinate with clinical, compliance, and operational teams to seamlessly integrate new programs into existing workflows.
- Provide regular progress updates, identify challenges, and report outcomes to senior leadership.
Cross-Functional Collaboration
- Collaborate with clinical, operational, and development teams to ensure workflow optimization aligns with organizational objectives and clinical standards.
- Maintain regular communication with departmental leads to ensure product development stays on track and any issues are addressed promptly.
Stakeholder Engagement
- Gather and analyze feedback from internal and external stakeholders regarding workflows and policies.
- Present findings and improvement recommendations to leadership and relevant teams for action.
Risk Management
- Identify potential risks associated with product changes and develop mitigation strategies to ensure project success.
- Actively monitor product risks and address issues as they arise to keep projects on track.
Performance Metrics and Reporting
- Establish metrics to evaluate the effectiveness of optimized workflows.
- Prepare and present reports on workflow efficiency, policy updates, and stakeholder feedback to management.
Training and Support
- Work with the training department to develop materials and resources to support staff in adopting new workflows and policies.
- Provide ongoing support and guidance to team members on workflow optimization strategies.
Continuous Improvement
- Participate in training sessions and offer feedback for enhancing processes.
- Actively seek opportunities to improve product management practices and contribute to the organization’s growth.
Requirements
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred.
- Minimum of 5 years in process improvement, clinical operations, or workflow analysis.
- Proficiency in process mapping tools, data analysis software, and Microsoft Office Suite.
- Strong verbal and written communication skills, with the ability to effectively present findings to diverse audiences.
- Excellent analytical thinking and problem-solving capabilities to assess workflows and recommend solutions.
- Ability to build relationships and collaborate effectively with cross-functional teams.

Work Environment
Lumata is pleased to provide a remote working environment for their team members. In order to perform the essential functions of this job, remote connectivity is essential. You will need a dedicated remote workspace with either a cable or fiber optic internet connection offering a minimum of 50 Mbps of download speed and 10 Mbps of upload speed of dedicated internet bandwidth for each person asking your network.
Your workspace should be private and offer a low noise level conducive with managing frequent professional conversations and virtual meetings. It is also critical that your workspace be HIPAA compliant. For example, you will want to ensure access to your company-issued PC is restricted, as you may be handling confidential and privileged data at times.
