Job Details

The Tax Coordinator works closely with the Tax Operations Manager and is responsible for providing administrative support to the Tax team firmwide to ensure client deliverables are met.

 

Core Responsibilities:

· Provide administrative support to leaders and teams delivering client services

· Complete assigned tasks / jobs

· Identify and help solve engagement (job) technical issues, anomalies, non-routine items

· Collaborate and communicate with client and team members in a professional manner

 

Essential Functions:

· Receive mail from office mail room and distribute to appropriate firm professional

· Request New Client Setup and coordinate the completion of the client acceptance process, ensuring compliance with established protocols and obtaining necessary approvals.

· Monitor tax return and other client deliverables in tracking system

· Assist in ongoing maintenance/cleanup of firm tracking system

· Assist in obtaining client documents for the service professionals as instructed

· Client Documents– scan and file documents into the appropriate client specific electronic document system(s) via Sureprep/Virtual Cabinet, obtain and deliver copies of previously filed client tax returns, and return original documents to clients

· Assemble and deliver tax returns, estimates and extensions to clients.

· Coordinate and submit all certified mail for the client

· Prepare mailing of copies of returns, estimated tax payment vouchers to clients

· Transmit returns and extensions electronically

· Manage tax return electronic filing system processes, including verifying e-file was accepted and manage e-file rejections and take corrective action on rejected files

· Maintain tracking, due dates and role assignments

· Prepare and deliver engagement letters for clients and confirm that client data and fees agree to the information recorded in the Firm’s practice management system

· Manage the distribution of tax organizers to clients in a timely and organized manner.

· Assist in the billing and collection process pursuant to the Firm’s guidelines and policies as instructed by the client service leader and Finance department

 

Minimum Qualifications:

· 2 -3 years’ experience in administrative role supporting tax services

· Excellent customer service skills (internal and external)

· Strong attention to detail

· Creative problem solving and research skills

· Strong written and verbal communication and interpersonal skills

· Able to work effectively both as part of a team and independently

· Highly motivated and interested in taking the initiative for personal growth and development

· Able to handle multiple priorities, tasks and simultaneous projects

· Ability to work overtime as needed

· Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)

· Prior experience with CCH applications preferred

Pay Range: $31.25 - $40.87 / HR
