JOB DESCRIPTION:
Minimum Qualifications:
High School Diploma or equivalent; excellent oral and written communication skills, time management skills and organization skills; proficient in MS Outlook, Word, Excel and PowerPoint. 1 year relevant experience working in Human Resources and/or recruiting.
Preferred Qualifications:
College course work, Intermediate to Advanced training in the areas of human resources and/or business. Experience in Human Resources including HRIS Systems (Workday).
Associate’s Degree or Bachelor’s Degree in Human Resources is preferred.
Special Skills, Knowledge and Abilities:
High level of attention to detail; accuracy and timeliness in all transactional activities. Proficient in MS Office including Word, Excel and PowerPoint; HRIS, excellent customer services skills and attention to details
Essential Functions/Job Duties:
Coordinates all candidate background checks ensuring that the process is being managed – following up when candidates fail to complete various segments for the screening in a timely way, etc.
Enters accurate information into the agency background systems to acquire necessary information for onboarding.
At times, may be necessary to go “outside the box” in order to obtain.
Checks DCF and other websites on a daily basis to check status of background screenings for all candidates under screening.
Maintain all screening documentation in an organized “new hire” packet.
With the Talent Acquisition Business Partner, maintains the SmartSheet to accurately reflect the status of candidate’s background checks which communicates with the Talent Acquisition Business Partner and hiring supervisors/managers regarding screening status.
Accurately enters candidate’s information and other relevant data in DCF/AHCA and Complete Roster prior to Orientation week.
Also, completes E Verify on all new staff and scans and uploads to S Drive, HR, I9 folder.
Ensures that required new employee documentation is completed, compiled and entered in new employee personnel packet.
Scan and upload documents necessary to be tracked for accurate submission of clinical licenses, auto insurance, Driver’s License for verification, CPR/BLS, etc.
Once complete, is turned into the Front Desk staff for employee file to be created. Responds to volunteer inquiries, screens volunteer applications, matches volunteer applicants with volunteer requests received from supervisors and/or managers, ensures that volunteers complete required background checks prepares them for new hire orientation.
Train Front Desk staff in preparing and maintaining personnel files for timely processing and filing of all documentation as required.
Audits personnel files to ensure that they are complete.
Prepares for all corporate audits and responds to auditor requests/Presents personnel and training records to auditors upon request.
Prepares routine and requested reports from Workday or other systems as needed. Processes correspondence and responds to routine information requests from callers; investigates subject matter and prepares replies.
Provides information and referral to agency and community services for callers and visitors, processes subpoenas as necessary.
Maintains accurate DCF, AHCA and Complete Rosters. It is necessary to be provided current information from staff in order to accurately maintain these items.
Provides back-up for front desk duties, if necessary, as a “last resort”.
