Job description

 

Position Summary: Provides administrative and operational assistance to the trust administrator in managing trust accounts.  Performs various operational functions within the trust department, with a focus on account set-up/transfer and asset reconciliations, transactional processing, record keeping, and tax and portfolio accounting functions.  Processes daily transactions.  Enhances the client experience by providing excellent operational support. 

Essential Job Functions and Duties: 

  • Provides daily trust administration and investment support in a growth oriented, team focused and transformational environment
  • Uses trust account/custodian systems to process daily transactions such as ACM sweeps, posts cash receipts and disbursements, prints checks and executes tax cost adjustments and transaction reversals
  • Pays bills for clients and monitors accounts to avoid overdrafts 
  • Supports the discretionary distribution process and processes client gifts 
  • Assists in the timely and accurate set up of new accounts; inputs data and monitors the new account process including but not limited to processing and tracking free receipts of assets with accurate tax costs; scans documents into the imaging system 
  • Implements and monitors the account closing process to ensure timely account distribution 
  • Serves as an alternate contact for clients and outside professionals; documents client communications on contact management system and assists in coordinating proactive communication
  • Regular attendance at the FineMark location designated in this job description, during regular business hours, or assigned hours for the position, is required. This is not a remote-work position

 

Required Education, Skills and Experience: 

  • A minimum of two (2) years’ experience providing transactional banking services to clients, or administrative/operational support to trust administration, within a trust/asset management/private banking institution a plus
  • Prior experience providing administrative and/or operational support in a trust area is a definite plus
  • Bachelor’s degree preferred
  • Experience with Trust Desk platform a plus
  • Requires a strong orientation towards operational efficiency, productivity, internal controls, compliance and process improvement 
  • Proficiency in Microsoft Office (Excel, Word, Power Point, Outlook)
  • Ability to multi-task and accurately assess priorities
  • Excellent written and oral communication skills
  • Professional appearance and demeanor required

Visual Acuity Requirements. Close visual acuity and the ability to adjust focus, with or without correction, are required to perform activities such as, viewing a computer monitor or written materials and documents; reading; writing; preparing and analyzing data and figures; transcribing; close visual inspection.  Some distance vision and color vision may be necessary.  

Environmental Conditions.  A person is not substantially exposed to adverse environmental conditions and only exposed to moderate noise; they may occasionally work near moving mechanical parts or machinery such as a copier/printer.
