Description

As a Senior Contracts Administrator, you will play a pivotal role in achieving this mission by ensuring the seamless management of high-value government contracts across their full lifecycle. Your expertise will safeguard compliance, mitigate risk, and drive operational excellence, enabling the company to maintain its reputation as a trusted partner to federal clients. In this role, you will collaborate closely with internal stakeholders, including Program Managers, Business Development, Finance, and other departments, to align contractual strategies with organizational goals and ensure successful program execution.


This role is integral to our team’s success, as you will not only manage critical contractual obligations but also mentor and develop junior staff, fostering a culture of excellence and continuous improvement. By bridging the gap between contractual requirements and operational execution, you will ensure that SFI consistently delivers value to its government partners while achieving sustainable growth.


Summary of Major Job Functions

Non-technical activities:

  • Mentorship and Development: Train and mentor junior contracts staff, enhancing team capabilities and knowledge in contracts administration and compliance.
  • Stakeholder Collaboration: Partner with internal stakeholders, including Program Managers, Business Development, Finance, and Legal, to align contract management with organizational objectives.
  • Risk Mitigation: Identify and address contractual risks, providing guidance to leadership on strategies for resolution and mitigation.
  • Reporting and Compliance: Ensure timely and accurate reporting of contractual metrics and compliance with all contractual and regulatory requirements.
  • Process Improvement: Recommend and implement process improvements for contract management workflows to drive efficiency and consistency.

Technical activities:

  • Contract Lifecycle Management: Oversee the full lifecycle of federal government contracts, from proposal development through closeout, ensuring compliance with FAR, DFAR, and agency-specific regulations.
  •  Negotiations: Lead complex negotiations with government agencies and subcontractors to establish favorable terms and mitigate risks.
  • GSA Schedule and SAM Administration: Manage and maintain compliance with GSA schedules and the System for Award Management (SAM) database to include reporting and corporate information updates.
  • Modifications and Amendments: Administer contract modifications, amendments, and extensions to ensure scope, schedule, and budget alignment for all contract vehicles and prime contract agreements.
  • Business Development: Support and administer Joint Venture (JV) administration, teaming agreements and non-disclosure agreements, ensuring compliance and successful collaboration.

Primary Responsibilities:

  • Conduct the negotiation and administration of agreements between the company/customers/subcontractors/vendors ensuring adherence to company policies and procedures.
  • Responsible for reviewing prime contract solicitation terms, handling contract award confirmations, interpreting agreement terms and conditions and identifying potential issues, reviewing agreement amendments / modifications and incorporating changes.
  • Review and process contractual documents to ensure adherence to company policy, government specifications and requirements, identify risks and areas of concern on contract terms and conditions and provide contractual advice, guidance and support to the Executive Leads/Program and Operations Managers.
  • Build and maintain strong relationships with Contracting Officers and other stakeholders to facilitate smooth communications and issue resolution and successful CPARS records.
  • Work closely with Executive Leads, Program Managers, Business Development, Finance, Legal, and other stakeholders to align contract strategies with program execution and business goals.
  • Maintain comprehensive records of changes and updates in contract management systems. Maintain contracts document repository and update contract trackers accordingly.
  • Review RFPs, RFQs, and RFIs to identify key contract requirements, risks, and opportunities. Support drafting subcontracting plans and required corporate representations and certifications.
  • Prepare teaming agreements, NDA’s, MOUs, MOAs, and other contractual agreements.
  • Support VP of Contracts to maintain and routinely update corporate contract templates to remain reflective if industry trends and compliance items.
  • Assist with subcontract negotiation and management.
  • Generate  and present contract performance reports to leadership, providing insights contract administration activities.
  • Generate and present contract performance reports to leadership, providing insights on compliance, risks, and opportunities for improvement.
  • Provide guidance and mentorship to more junior contract staff, sharing best practices and fostering professional development.
  • Perform special projects as requested.
Requirements
  • Bachelor’s degree in Business Administration, Finance, or a related field. Years experience may be substituted for a degree.
  • 8-10 years of experience in federal government contract administration, with a proven record of managing complex federal prime contracts valued over $50M TCV.
  • Experience managing all contract types (FFP, CPAF, CPFF, T&M, etc.).
  • Experience managing GWACS, agency specific BPAs, IDIQ’s and other ordering vehicles.
  • Demonstrated expertise in FAR, DFAR, and agency-specific acquisition regulations.
  • Experience with SAM administration and managing GSA schedules.
  • Strong negotiation and communication skills with the ability to build effective relationships with government representatives and subcontractors.
  • Exceptional attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in contract management systems and tools (e.g., Deltek Costpoint, Unanet, JAMIS, or other).

Desired Skills & Qualifications:

  • Proficiency in administering contracts within Joint Venture (JV) structures is preferred.
  • Certifications such as CPCM or CFCM is a plus.

Other Information

  • The salary for this position is $90,000 - $150,000 annually
  • This role offers a flexible work arrangement, primarily remote with the understanding that occasional on-site presence may be required to support client needs
