Job Description

In this key administrative role, the Manager, Medical Education, is responsible for overseeing the operational support for medical education at William Osler Health System (Osler). Focusing on the direct supervision of administrative staff within the Education Office, this position ensures seamless day-to-day coordination of learner and faculty services and maintains high standards for all administrative functions.

The Manager will be responsible for managing communications with both internal teams and external academic partners, fostering collaborative relationships that enhance Osler’s educational objectives. This role will lead and support project management efforts within the Education Office, including the implementation of new policies, workflows, and technology solutions to improve efficiency and service quality. Additionally, the Manager will be tasked with tracking and reporting key metrics, supporting budget management, and addressing operational issues that arise within the scope of medical education.

Working in alignment with Osler’s educational mission, the Manager plays a critical role in promoting a collaborative team culture, ensuring adherence to organizational standards, and contributing to a positive and effective learning environment. Reporting to the Director of Medical Affairs & Education, the Manager will implement quality initiatives, promote a collaborative team culture, and contribute to a positive learning environment.

Core Competencies

Administrative Oversight of Education Office

  • Oversees the daily operations of the Education Office, including supervising administrative staff and ensuring alignment with organizational policies and best practices
  • Implement and maintain efficient workflows, office procedures, and processes to support educational programs
  • Develop and monitor performance expectations for administrative staff, providing constructive feedback and supporting their professional growth
  • Manage logistical support for the onboarding, scheduling, and offboarding of medical learners in collaboration with clinical teams and external academic partners

Learner and Faculty Support Coordination

  • Ensures high-quality support for medical learners, including managing systems for orientation, onboarding, and ongoing assistance throughout their time at Osler
  • Monitor learner experience and address operational issues in coordination with education coordinators and academic partners, ensuring compliance with accreditation and organizational standards
  • Facilitate internal quality processes to track learner metrics, ensuring accurate reporting and data management

Administrative Project Management and Process Improvement

  • Manages projects within the Education Office that aim to improve administrative support for educational programs, including implementing new policies, communications, software, and tracking systems
  • Identifies opportunities for process enhancements to support operational efficiency within the Education Office, working closely with the Director on implementing approved changes
  • Assists with budget planning, tracking, and reporting related to administrative projects in alignment with organizational guidelines

Relationship Management and Communication

  • Acts as a point of contact for internal and external stakeholders, ensuring clear and effective communication regarding administrative support within the Education Office
  • Foster collaborative relationships with Osler’s clinical departments, external academic partners, and other stakeholders to enhance the support provided to medical learners and faculty
  • Address and resolve administrative concerns from learners, faculty, and staff promptly and professionally, escalating issues to the Director as necessary

Qualifications
  • Undergraduate degree in a health care field/health administration
  • Five (5) years of progressively related manager and/or leader in a health care or academic environment
  • Expertise in hospital-based education and experience working in a large and complex organization
  • Demonstrated knowledge of legislation and regulation with respect to health professional education and learners
  • Demonstrated interpersonal and leadership skills and track record of building effective relationships throughout the organization and externally
  • Demonstrated ability in facilitation, team building, problem-solving and change management within an interdisciplinary team
  • Demonstrated knowledge of risk and understanding of a clinical environment to support decision making and identification of risk points in supporting clinical education
  • Familiar with the use of education software applications such as NIRVsystem, HSP.net, Dual code, etc., with flexibility to learn new software and computer applications as required

Hours: Currently days (subject to change in accordance with operational requirements)

This is a Hybrid role: Roles that function remotely, but require essential, regular onsite weekly work.

Annual Salary:
Minimum:  $113,061
Maximum: $141,336
