Quick Rundown:
We are seeking a versatile and detail-oriented Medical Virtual Assistant to bridge the roles of recruiter and data entry while ensuring seamless scheduling operations. This role requires someone who can efficiently delegate tasks, communicate with team members, and manage multiple administrative responsibilities across various platforms. A background in sales is highly valued to enhance team coordination and client interactions.
What You'll Do:
- Recruitment Support:
Assist in the recruitment process, including posting job openings, screening resumes, and coordinating interviews
Maintain and update recruitment databases and candidate records
Communicate with candidates and hiring managers to ensure a smooth hiring process
- Scheduling and Coordination:
Manage and maintain schedules for team members, ensuring efficient allocation of resources
Coordinate meetings, appointments, and other scheduling needs
Resolve scheduling conflicts promptly and efficiently
- Administrative Tasks:
Perform accurate data entry to maintain detailed records and databases
Handle email correspondence and respond to inquiries in a timely manner
Assist with general administrative support as needed
- Task Delegation and Team Communication:
Act as a liaison between the management and team members, delegating tasks effectively
Communicate with team members to identify and address areas where support is needed
Ensure all delegated tasks are completed on time and meet quality standards
- Platform Management:
Navigate and manage multiple platforms and systems to support recruitment, scheduling, and administrative operations
Stay updated on tools and technologies to enhance productivity and efficiency
What We're Looking For:
Proven experience in recruitment, scheduling, or a similar administrative role
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Proficiency in using scheduling tools, applicant tracking systems (ATS), and other relevant platforms
Background in sales or related experience
Ability to work independently and manage multiple priorities in a fast-paced environment
