Job description

This is a remote position.

Scope:
  • Full-time role: Preferably Monday to Friday from 9 AM to 6 PM EST / 10:00 PM to 7:00 AM Manila Time.
  • Report directly to the founder.

Responsibilities:
  • Manage and maintain AI systems, including backend dashboards, updating workflows, and ensuring smooth operations.
  • Handle daily calendar management, task scheduling, and professional email correspondence.
  • Coordinate travel logistics, bookings, and arrangements for the executive team.
  • Conduct online research on partnerships, blockchain trends, and AI tools, summarizing findings for executive review.
  • Attend executive meetings, taking accurate minutes, compiling notes, and tracking actionable tasks.
  • Assist in expense reconciliation, financial tracking, and oversight of bank accounts, including editing documents such as SAFTs.
  • Oversee and maintain the custom CRM, ensuring accurate data entry, client follow-ups, and report generation.
  • Manage and optimize internal and external forms to streamline workflows.
  • Support tasks related to tokenized AI agents, including research, documentation, and coordination with relevant partners and platforms.
  • Act as a liaison between the executive and internal teams, ensuring clear communication and timely resolution of requests.
  • Maintain email lists, ensuring proper segmentation and targeted communication strategies.
  • Organize and manage internal documents, promotional materials, and digital folder structures.
  • Handle additional tasks and projects as directed by the founder.

Requirements:
  • Minimum 3 years of experience in an Executive Assistant role, preferably in a tech-focused or Web3-related organization.
  • Proficiency in tools like ClickUp, Telegram, WhatsApp, and Microsoft Office Suite (Excel, Outlook, Word).
  • Familiarity with AI systems, backend dashboards, and tools.
  • Exposure to Web3 platforms, blockchain tools, or crypto-related projects is a significant advantage.
  • Exceptional attention to detail, organizational capabilities, and communication skills.
  • Ability to adapt and thrive in a fast-paced environment, with training provided on ClickUp.
  • Demonstrated ability to work with discretion and handle confidential information.

Preferred Qualifications:
  • Experience working with Web3 technologies and familiarity with tokenized systems.
  • Background in managing crypto-related workflows and documentation.
  • Previous exposure to AI dashboards, tools, and automation platforms.
