The Benefits Administrator (Remote in CA, AZ, TX, NC, SC, or FL) will serve as the primary point of contact for day-to-day administration of Mindpath Health’s leave of absence program and support the benefit administration. The incumbent will act as a liaison between the company and third-party benefit providers as well as work directly with the workforce to educate on leave of absence related policies and compliance requirements. This position participates in the development of processes and systems to effectively manage benefits and leaves, with a focus on customer satisfaction, efficiency, and compliance with applicable laws and policies to drive HR functional excellence.
Responsibilities
Benefit Administration
- Provides excellent customer service by communicating program details to employees and managers relating to benefits including leave of absence programs, policies, and procedures
- Document and maintain administrative procedures for assigned benefits processes
- Assist with the processing of disability claims
- Manage vendor relationships (e.g. absence management) to ensure seamless delivery of services to all employees
- Produce and analyze reports and metrics to identify trends, discrepancies, and potential areas of function improvement
- Resolve benefit-related issues and respond to queries and requests in a timely manner
Employee Benefit Programs
- Work closely with the Total Rewards Center of Excellence to understand benefits program design, rollout of new/updated benefits programs in relation to leaves of absence
- Serves as a supporting point of contact for company benefit programs including but not limited to tuition reimbursement, pregnancy disability leave, parental leave
- Advises employees of program and eligibility requirements and provides guidance throughout the process
- Review and process all reimbursement requests under the tuition reimbursement program
Leave of Absence Administration
- Oversee all aspects of the leave of absence program to ensure compliance with federal and state laws and regulations
- Serves as point of contact for third-party leave administrator
- Supervises the leave administration processes from the employee’s initial notice of the need for leave to return to work
- Advises managers and employees on the coordination of leave laws with paid time off, workers
- compensation, and short-term and long-term disability benefits
- Oversee the return-to-work process including communication to key stakeholders
- Initiate and engage in the ADA interactive process. Partners with Employee Relations to consult with internal and external providers and departments to understand job requirements, individual disability limitations, and feasibility of requested accommodations
- Consult with Employee Relations on employment separation due to leave status as needed
- Provide guidance to managers on how to document leave in the HRIS
- Works with Payroll to integrate wages with state disability, paid family leave, and/or company-paid policy benefits such as maternity and paternity leave
- Handle coordination with COBRA administrator of COBRA eligibility and administration
- Maintains knowledge of all applicable Federal, State, and local leave and accommodation laws
Additional Projects and Responsibilities
- Assist with COBRA, disability, accident and death claims, and compliance testing
- Document and maintain administrative procedures for assigned benefits processes
- Assist with annual open enrollment
Qualifications
- 3+ years of experience overseeing leave of absence administration and employee benefit programs
- Proficient knowledge of benefit laws and regulations, including ERISA, HIPAA, FMLA/CFRA, PDL, COBRA, ACA, etc.
- Proficient with Microsoft Office, Word, and Outlook; mastery level Excel skills (i.e. VLOOKUPs, pivot tables, conditional formatting)
- Demonstrated attention to detail, flexibility, resourcefulness, and creative problem-solving skills
- Superior organizational skills and the ability to prioritize and balance multiple tasks in a fast-moving environment
- Excellent oral and written communication skills
- Excellent interpersonal skills with ability to interact effectively with customers, shareholders, superiors, and peers
- Excellent writing skills with a wide vocabulary, attention to detail/spelling, knowledge of grammar and sentence structure, and ability to synthesize complex material in a cogent fashion
- Ability to maintain confidentiality in all aspects and exercise proper discretion and judgment
- Ability to work as a team and independently
- Ability to be responsive and manage multiple projects and timelines appropriately
