We are seeking a highly organized and detail-oriented Meetings and Events Manager with expertise in the oncology field to oversee the planning, coordination, and execution of high-impact events, conferences, and meetings. This role is pivotal in ensuring seamless event experiences that align with organizational objectives, engage stakeholders, and support oncology-focused initiatives. The ideal candidate will have strong project management skills, experience in event planning within the healthcare or pharmaceutical sectors, and a deep understanding of oncology-related content and audiences.
Key Responsibilities
Event Planning and Coordination:
· Design, plan, and execute a variety of oncology-related events, including scientific meetings, advisory boards, conferences, training sessions, and webinars.
· Develop comprehensive event timelines, budgets, and plans to ensure efficient execution.
· Collaborate with cross-functional teams to align events with strategic goals and brand messaging.
Stakeholder Management:
· Liaise with internal teams, external vendors, sponsors, and key opinion leaders (KOLs) to ensure clear communication and alignment on event objectives.
· Act as the primary point of contact for speakers, attendees, and other stakeholders, managing logistics and addressing inquiries.
Content Development and Compliance:
· Coordinate the creation and review of event materials, including agendas, speaker presentations, and promotional content, ensuring accuracy and relevance to oncology topics.
· Ensure all events comply with industry regulations, including ACCME, FDA, and other guidelines relevant to medical education and oncology.
Logistics and Vendor Management:
· Manage venue selection, contract negotiations, catering, AV setup, and travel arrangements.
· Oversee vendors and service providers to ensure high-quality delivery within agreed timelines and budgets.
On-Site Event Management:
· Oversee on-site event execution, including registration, speaker coordination, and attendee support.
· Address real-time issues to maintain a seamless event experience.
Post-Event Analysis:
· Collect and analyze feedback from attendees and stakeholders to measure event success.
· Generate reports on event performance and identify opportunities for improvement.
Requirements
Qualifications:
· Bachelor’s degree in Event Management, Marketing, Communications, or a related field; advanced degree or certifications (CMP, CMM) are a plus.
· 5+ years of experience in meetings and events management, preferably in the oncology, healthcare, or pharmaceutical sectors.
· Strong knowledge of oncology therapeutic areas, terminology, and the needs of medical and scientific audiences.
· Proficiency in event management software, virtual event platforms, and productivity tools (e.g., Cvent, Zoom, MS Office).
· Excellent organizational, multitasking, and project management skills with a proven ability to manage multiple events simultaneously.
· Strong interpersonal and communication skills to interact effectively with diverse stakeholders, including senior leaders and KOLs.
· Knowledge of healthcare compliance regulations (e.g., Sunshine Act, PhRMA Code) is highly desirable.
· Willingness to travel for event execution and site inspections as needed.
