Job description

This is a remote position.

This dynamic role combines project management, executive support, and operations coordination to ensure the efficient functioning of the organization. The successful candidate will manage internal processes, reporting, and administrative tasks while supporting the leadership team and broader operations. They will also apply basic project management practices to ensure the smooth delivery of both client and internal projects. This is a pivotal role at the heart of the client's organization.

Requirements

KEY RESPONSIBILITIES

  • Track and report on project progress and time management using organizational tools.
  • Monitor deliverables, identify potential delays, and generate insights for process improvements.
  • Maintain visibility into operational metrics and provide recommendations for efficiency.
  • Ensure compliance with company processes, including timely client communication, strategy updates, and regular check-ins.
  • Facilitate workflows across teams to uphold quality standards and client satisfaction.
  • Organize and manage file storage systems and administrative documentation.
  • Oversee subscriptions and renewals for tools and software.
  • Arrange travel and meeting logistics for the team.
  • Manage calendars and schedules for executives and the team.
  • Coordinate project timelines to meet deadlines and ensure deliverables are on track.
  • Act as a liaison between internal teams to track progress and address challenges.
  • Review project briefs and ensure resources are prepared for successful execution.
  • Conduct regular team check-ins to monitor progress and address issues proactively.
  • Manage resource allocation across projects to maximize team efficiency.
  • Assist in onboarding new clients by coordinating setup, tracking, and initial deliverables.

  • Proficiency in project management tools and office software (Monday.com, Microsoft Excel, Word).
  • Exceptional attention to detail and organizational skills.
  • Strong verbal and written communication skills for internal and external interactions.
