Job description

This is a remote position.

Schedule: 
  • Monday to Friday
  • 6:30am to 3:30pm California Time with an hour unpaid break

Responsibilities:

Meeting Coordination:

  • Schedule and organize meetings with internal teams.
  • Prepare agendas and ensure all necessary materials are available.

 

Action Items and Priorities:

  • Document action items and priorities from meetings.
  • Assign tasks and follow up on completion within specified deadlines.

 

Company Task Support:

  • Provide assistance with ongoing company tasks and projects as required.

 

Participate in Team Meetings:

  • Attend meetings with the Supply Chain team and contribute where necessary.

 

Vendor Management:

  • Coordinate with vendors regarding the status of open purchase orders.
  • Confirm receipt of purchase orders with vendor, including revisions, as needed.

 

Correspondence Handling:

  • Manage, respond, and direct emails and other correspondence promptly to the appropriate team member, when necessary.

 

Reporting:

  • Procure and distribute PO scheduled reports provided by our vendors to the team.

 

Document Management:

  • Maintain an organized system for critical documents and assignments.
  • Ensure documents are assigned to the appropriate staff members.

 

Maintain Confidentiality:

  • Handle confidential documents and emails with discretion to protect sensitive information.



Requirements

Qualifications:

  • Education:High school diploma or equivalent; Associate or Bachelor’s degree preferred.
  • Experience: Previous experience in an administrative role, preferably within a corporate environment.

 

Skills:

  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficient with Microsoft Office Suite / Office 365 and familiarity with document management systems.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
