Job description

THE ROLE

We are seeking a highly organized and detail-oriented Bookkeeper with light administrative skills to join our team and play a key role in supporting the financial and operational success of Mike Regina's ventures. In this role, you will be responsible for managing daily bookkeeping activities, financial reporting, and assisting with administrative tasks that keep the organization running efficiently.

This position is perfect for a proactive, self-starter who thrives in a fast-paced environment, takes pride in creating order, and enjoys contributing to a dynamic entrepreneurial ecosystem. You will work closely with our directive and his team to ensure seamless financial operations and administrative support.

Essential Functions

> Bookkeeping:

  • Financial Record Maintenance:
    • Accurately record daily financial transactions, including accounts payable, receivable, and general ledger updates.
    • Perform regular reconciliations of bank accounts, credit cards, and other financial accounts to maintain up-to-date and error-free records.
  • Expense and Income Management:
    • Monitor and manage expenses, categorize transactions, and maintain proper documentation.
    • Ensure timely invoicing and follow-ups on outstanding payments to support strong cash flow.
  • Financial Reporting:
    • Prepare simple financial reports, including income statements, balance sheets, and cash flow summaries, for management.
    • Assist in budget preparation and track actual performance against projections to support decision-making.
  • Compliance and Tax Preparation:
    • Assist with organizing records for tax preparation and ensure compliance with bookkeeping best practices.
    • Collaborate with external accountants or tax professionals, as needed.
> Administrative Support:

  • Operational Efficiency:
    • Support day-to-day administrative operations, including email correspondence, scheduling, and calendar management.
    • Assist in organizing and maintaining both digital and physical files for invoices, receipts, and other key documents.
  • Vendor and Client Coordination:
    • Communicate with vendors and suppliers regarding invoices, payments, and account inquiries.
    • Provide customer service support by addressing basic client questions related to accounts and billing.
  • Team Support:
    • Help coordinate meetings and prepare necessary materials, such as agendas and reports.
    • Order office supplies and ensure general office organization for remote or on-site operations.
  • Process Improvement:
    • Identify and recommend improvements to administrative and bookkeeping processes to enhance efficiency.
    • Stay updated on new tools and software that can improve workflows for bookkeeping and administrative tasks.
Qualifications

  • Associate degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
  • 2-3 years MINIMUM of experience in bookkeeping or a related role.
  • Proficiency in bookkeeping software (e.g., QuickBooks, Xero) and Microsoft Office Suite (especially Excel).
  • Proficient in bill.com
  • Leader
  • Utilizes strong organizational skills.
  • Solution oriented approach in dealing with conflicts.
  • Experienced in Outlook, Word, Excel, and Powerpoint software.
  • Ability to work under pressure and complete task in an effective and timely manner.
  • Ability to multi-task.

  • Ability to represent and market all our companies in a professional manner.
