Job description

Overview

We are looking for a meticulous and adaptable Virtual Assistant to assist our team with content creation, project management, and administrative duties. The ideal candidate should have a basic understanding of Japanese reading and writing. Proficiency with tools such as Canva, Google Workspace, Kajabi, along with a basic knowledge of video editing and social media management, is preferred. This remote, flexible position is ideal for a proactive individual who excels at multitasking, effective communication, and meeting deadlines.

Note: Only candidates who meet the required qualifications and proficiency levels in the specified tools would be considered, as these criteria are NON-NEGOTIABLE.

About The Role

  • Compensation: 540 AUD/month (paid twice a month)
  • Schedule: 24hrs/week, Melbourne Time
  • Availability: Start ASAP

Key Responsibilities

Content Creation & Social Media Management

  • Create engaging content using Canva templates for social media posts, email campaigns, and offers.
  • Schedule and publish social media posts across various platforms.
  • Collect and analyze social media data to generate insights and track performance.

Video Editing & Transcription

  • Transcribe videos using AI tools and edit unnecessary sections.
  • Add subtitles and ensure video content is clear and concise.

Kajabi Management

  • Create and manage offers on Kajabi.
  • Set up and schedule emails in Kajabi according to instructions.

Google Workspace & Administrative Support

  • Use Google Forms, Docs, Sheets, and Slides for administrative tasks, such as data entry, document creation, and form management.
  • Follow up on progress, handle instructions, and prioritize tasks for the week.

Communication & Task Management

  • Communicate effectively with the team via Asana, following up on tasks, deadlines, and updates.
  • Ensure clear communication in all aspects of work to avoid back-and-forth and delays.

Qualifications

  • Bachelor’s degree relevant to the role
  • Minimum of 3+ years of experience as a Virtual Assistant in a similar role
  • Excellent written and verbal English communication skills
  • Basic level of reading and writing in Japanese (to support content and communication in Japanese)
  • Basic video editing skills (including transcription, cutting, adding subtitles)
  • Proficiency in Kajabi
  • Audio editing using Audacity is a bonus
  • Good written communication skills for team collaboration and reporting
  • Ability to work independently and manage multiple projects at once
  • Organized and detail-oriented with a strong ability to follow instructions
  • Comfortable working with digital tools and learning new systems
  • Proactive and able to meet deadlines while handling multiple tasks
  • Able to adapt quickly and work efficiently under pressure

The Candidate Must Be Proficient In The Following Tools

Kajabi, Canva, any video editing tool, Asana, Buffer, Google form; docs, spreadsheet, slides, Audacity (bonus)
