Daily Tasks:
• Download reports from HMS to prepare daily entries and update QuickBooks (QB).
• Create IFF files to upload HMS data to QB.
• Record F&B (Food & Beverage) invoices and track any missing ones.
• Communicate with F&B and hotel vendors about invoices, payments, and statements.
• Review F&B and Accounts Payable (AP) statements.
Weekly or Every Other Day Tasks:
• Match Fintech invoices with bank withdrawals and input credits in QB.
• Print and organize F&B invoices for the F&B Director's review.
• Send weekly Amex updates to the General Manager.
• Record all F&B sales in QB.
• Reconcile cash receipts between HMS and QB.
• Match HMS and Toast credit card batches.
• Book Airbnb transactions in HMS.
• Download and review occupancy statistics and hotel ledger reports from HMS.
• Reconcile guest ledger and Airbnb in QB.
• Resolve pending items in bank feeds.
• Post payments (189 or 1800) in AppFolio.
• Reconcile operators' accounts.
• Generate FPL IFF files.
• Save and reconcile tax-exempt files and reservations.
• Update the tax Excel file and necessary tabs.
• Reconcile E-safe transactions.
• Record WC event revenue, parking revenue, and spa/8101 revenue in QB.
• Distribute parking revenue to each location and issue checks as needed.
Monthly Tasks:
• Reconcile Amex statements and scan all receipts.
• Download, save, and update the utilities spreadsheet.
• Record utility invoices in QB.
• Save month-end reports from Toast, HMS, AppFolio, and Parkmobile.
