Job description

Job Overview

We are looking for a dedicated and enthusiastic Assistant Director, Programs to become an integral member of our dynamic team. In this pivotal role, you will actively support and facilitate pro-democracy leadership development programs for youth aged 18 to 25, aimed at fortifying and promoting democratic principles. Your engagement will encompass every facet of the program, including planning, coordination, and communication, ensuring a profound and impactful experience for all participants.

Key Responsibilities

  • Facilitate and moderate meetings and events for groups ranging from intimate gatherings to large-scale sessions (4-100+ participants).
  • Oversee program logistics throughout all phases, from application processes to post-program evaluations, including managing communications, outreach, marketing, and participant engagement.
  • Contribute to the design of program curricula and collaborate on the development of new program initiatives, including pilot projects and event concepts.
  • Collect and analyze program data to perpetually enhance offerings and ensure inclusivity of diverse perspectives while achieving core learning objectives.
  • Maintain meticulous records of program activities, progress, and outcomes, assisting in the preparation of planning documentation such as briefings and presentations.
  • Manage program-related data within the CRM, ensuring accuracy and timeliness of participant details, guest release forms, attendance records, and feedback.
  • Collaborate with team members to implement innovative processes or tools to improve program efficiency (e.g., project management software).
  • Assist in event planning, managing logistics for both virtual and in-person gatherings, and overseeing travel arrangements.
  • Conduct one-on-one outreach to foster strategic relationships with youth organizations, campus leaders, and community initiatives.
  • Utilize problem-solving skills to navigate challenges, meet deadlines, and drive projects forward.
  • Mentor seasonal interns and program staff, providing essential guidance and support.
  • Undertake additional duties as assigned.

Required Skills

  • Strong organizational abilities with the capacity to juggle overarching goals alongside intricate details.
  • Self-starter with a demonstrated history of achieving goals and maintaining excellent follow-through.
  • Familiarity with budgeting, including experience in budget management and development.
  • Proven experience in project and program planning, with exceptional presentation and facilitation skills in both physical and virtual environments.
  • Strong verbal and written communication skills, emphasizing problem resolution and actionable outcomes.
  • Outstanding interpersonal skills, adept at building relationships with a diverse array of stakeholders, including participants, staff, board members, and external partners.
  • A minimum of 5 years' experience working with young people in educational, community-building, or leadership capacities.
  • Knowledge of the non-partisan civic landscape, with the ability to engage others in meaningful dialogue.
  • Proficient in Microsoft and Google tools, CRM platforms (Salesforce preferred), application platforms (Typeform, SurveyMonkey Apply), and online communication tools (Zoom, Slack, etc.).
