Job Description

The role of the Administrative Assistant is to support staff with specific software updating, clean-up and maintenance such as HailTrace, Procore, Workvivo and Pipedrive. This individual would also oversee creating, proofreading and executing necessary documents such as Damage Reports, Contracts, Agreements, Change Orders, Supplements, etc.This Administrative Assistant must be US based and available to travel as needed during Hail and Hurricane Seasons.This administrative role is crucial to the execution of contracts, presentations and effective roll out of business efficiency.

RESPONSIBILITIES:

  • All administrative tasks for the sales team
  • Attending all sales meetings and project kick-off meetings
  • Creating PowerPoint presentations for client (branches)
  • Communicating with Branches to maintain and update HailTrace Software
  • Gathering all necessary information and create damage reports for client presentations
  • Timely updating of Procore with all necessary documentation
  • Communication with clients and branches to retrieve all necessary documentation before and after contracts
  • Replying to all LHR emergency calls
  • Addressing all customer/client concerns

Requirements

QUALIFICATIONS

  • Detailed and organized
  • Verbal and written professionalism and etiquette
  • Self-starter and initiative to problem solve
  • Flexibility with tasks at hand

Experience

  • 2-5 years of PowerPoint, Excel, Word, Publisher. Outlook
  • Experience with HailTrace software a plus
  • Experience with Procore software a plus
  • Knowledge of construction a plus
  • Detailed oriented and accuracy in proofreading documents
  • Ability to multitask
