Job Overview

We are seeking a proactive US Operations Project Coordinator to manage subcontractor relationships and ensure efficient servicing and maintenance across 40-45 states for our largest customer. This role involves subcontractor vetting, project scheduling, compliance monitoring, and maintaining high standards of quality. You will work closely with internal teams to ensure timely execution, provide regular progress updates, and support the growth of our operations. Job Description
  • Subcontractor Management:
    • Identification: Research and identify potential subcontractors for HVAC and other maintenance services across multiple states.
    • Vetting: Conduct thorough vetting processes including background checks, license verification, and insurance compliance to ensure subcontractors meet company standards.
    • Database Maintenance: Maintain a comprehensive database of qualified subcontractors, tracking credentials, service areas, and performance history.
  • Documentation and Compliance:
    • Contract Management: Ensure all necessary contracts, including service agreements and non-disclosure agreements, are in place with subcontractors.
    • Compliance Tracking: Monitor compliance with safety regulations, industry standards, and company policies. Ensure subcontractors maintain up-to-date licenses and insurance.
    • Record Keeping: Maintain accurate and organized records of all subcontractor documentation, including certificates of insurance and compliance checklists.
  • Project Coordination:
    • Task Assignment: Work with Directors of Operations to prioritize subcontractor tasks based on project needs and timelines.
    • Scheduling: Coordinate project schedules and ensure timely assignment of subcontractors to tasks, ensuring deadlines are met.
    • Resource Allocation: Collaborate with internal teams to allocate necessary resources to subcontractors to ensure successful project execution.
  • Reporting and Communication:
    • Regular Updates: Provide regular status updates to the Directors of Operations on project progress, subcontractor performance, and issues that arise.
    • Stakeholder Communication: Serve as the primary point of contact for subcontractors, addressing inquiries and concerns promptly.
    • Feedback Loop: Establish a feedback system with internal teams and customers to gather insights on subcontractor performance and identify areas for improvement.
  • Quality Assurance:
    • Performance Monitoring: Conduct quality checks on subcontractor work to ensure it aligns with company standards and customer expectations.
    • Issue Resolution: Address performance issues or disputes with subcontractors quickly and effectively to avoid project delays.
    • Continuous Improvement: Identify opportunities for process improvements and implement best practices to enhance subcontractor management and project execution.

Requirements
  • Minimum 5 years of experience in project coordination, operations, or facilities management.
  • Sales experience.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills in English.
  • Assertive personality with the ability to interact effectively with diverse stakeholders, including blue-collar workers.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (e.g., Teams, Asana).
  • Ability to work both independently and collaboratively within a team.
  • Familiarity with HVAC systems and other commercial facilities maintenance practices is a plus.
