Luxury Travel Advisor VA

We are seeking a highly organized and detail-oriented Virtual Assistant to support a luxury travel advisor based in New York (Eastern Standard Time). The ideal candidate will have strong communication skills, a solid understanding of the travel industry, and the ability to work independently with minimal supervision. This role requires a keen eye for detail, discretion, and the ability to provide exceptional support to ultra-high-net-worth clients.

Key Responsibilities:

  • Administrative Support:
    Manage and respond to emails promptly.
    Monitor and organize communication when the advisor is traveling.
  • Itinerary and Proposal Management:
    Cross-check and organize travel proposals and itineraries for accuracy and consistency.
    Edit, proofread, and format documents to ensure professionalism and visual appeal.
    Add relevant images and content to enhance presentations.
  • CRM and Tools:
    Use the CRM system (AXUS) and itinerary-building tools to create and update client travel documents.
  • Research and Pricing:
    Research hotel pricing, availability, and details for client proposals.
    Identify activities and other relevant options in specific destinations.
  • Reservation Management:
    Make dining and other reservations as needed.
    Book and confirm travel-related reservations for clients.
  • Client Communication (Future Responsibility):
    Draft email responses and send options to clients as the role progresses.

Qualifications:

  • Prior experience in a similar role, preferably in the luxury travel or high-end hospitality industry.
  • Familiarity with luxury travel industry terms and practices (e.g., net vs. gross pricing, commissions).
  • Skills:
    Exceptional written and verbal English communication skills.
    Strong organizational and time management skills.
    Extraordinarily detail-oriented with a high level of accuracy.
    Critical thinking and the ability to work independently with minimal direction.
    Discretion and professionalism when working with high-net-worth clients.
