Job Description: Administrative Assistant with Basic Social Media Management Skills

Position Overview
We are seeking a highly organized and proactive Remote Administrative Assistant to provide day-to-day administrative support and assist with basic social media management. The ideal candidate will handle inbound calls, manage schedules, organize files, and support content creation using Canva templates. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively in a remote environment.

Key Responsibilities

  • Administrative Tasks:
    • Manage calendars, appointments, and meetings.
    • Handle email correspondence and organize inboxes.
    • Maintain and organize digital files and records.
    • Prepare reports, spreadsheets, and presentations as needed.
    • Coordinate travel arrangements and logistics when required.
    • Handle data entry and maintain up-to-date records in company databases.
  • Inbound Calls:
    • Answer and direct inbound calls in a professional and courteous manner.
    • Address client and customer inquiries or route them to the appropriate team member.
    • Take accurate messages and ensure timely follow-ups.
  • Basic Social Media Management:
    • Schedule and publish posts across social media platforms using provided content calendars.
    • Engage with followers by responding to comments and messages.
  • Basic Content Creation:
    • Use Canva to create visually appealing graphics and posts based on provided templates.
    • Ensure brand consistency in all digital assets.

Qualifications

  • Proven experience in an administrative assistant role, preferably remote.
  • Familiarity with Canva.
  • Basic understanding of social media platforms (e.g., Instagram, Facebook, LinkedIn).
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and/or Google Workspace.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to handle multiple tasks while maintaining attention to detail.
  • Comfortable handling inbound calls and providing excellent customer service.

Working Conditions

  • Fully remote position.
  • Monday to Friday 9am to 6pm ET (with one unpaid hour - 30 minute lunch and two 15 minute breaks - am and pm)
  • Reliable internet connection and a quiet workspace.
