About the Company:
We are a growing and dynamic company seeking a highly skilled and adaptable Executive Assistant to join our team. This part-time role will primarily focus on medical scribing, with the potential to take over a documentation auditing role in the future. As our company expands, there may be an opportunity for the position to transition to full-time, with a variety of administrative responsibilities to support executive-level tasks.


Job Overview:
As a Part-Time Executive Assistant, you will be responsible for accurate medical scribing, documenting patient interactions and healthcare provider notes. Over time, you may also take on responsibilities related to documentation auditing, ensuring compliance with medical documentation standards. The role will also involve additional administrative duties, requiring someone who is comfortable working in a fast-paced, ever-changing environment.


Key Responsibilities:

  • Perform medical scribing by accurately documenting patient and healthcare provider interactions.

  • Take on documentation auditing duties, ensuring all records meet compliance and quality standards.

  • Assist with executive calendar management, prioritizing tasks and scheduling appointments.

  • Handle email correspondence, ensuring timely and effective communication.

  • Coordinate travel logistics and arrangements as needed.

  • Conduct research and provide executive summaries based on findings.

  • Attend meetings, take minutes, and track action points for follow-up.

  • Provide general administrative support, including expense reconciliation and office management.

  • Help organize and maintain internal documents, digital files, and reports.

  • Serve as a liaison between executives and other teams, ensuring efficient communication and resolution of requests.



Requirements

Qualifications:

  • Experience in medical scribing (preferred but not required).

  • Strong attention to detail with the ability to meet deadlines and maintain accuracy.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

  • At least three years of experience in an executive assistant or similar role.

  • Proficiency in MS Office Suite, especially Excel and Outlook.

  • Familiarity with medical terminology or willingness to learn quickly.

Skills:

  • Exceptional organizational skills and the ability to multitask efficiently.

  • Strong written and verbal communication skills.

  • Ability to handle sensitive and confidential information with discretion.

  • Proficiency in CRM software (HubSpot) and other communication tools.
