Role Overview
The Intermediate to Senior Project Controls Specialist will report directly to the Director of Project Management and be responsible for planning, monitoring, and controlling project timelines, budgets, and schedules. This role will also provide the project director with independent data on projects and support project managers with analysis and reports to inform strategic decisions, optimize project performance, and ensure alignment with project goals and timelines. Additionally, the specialist will deliver insights to identify potential risks, track progress, and propose solutions to maintain project efficiency and cost-effectiveness.
Key Responsibilities
• Develop and maintain comprehensive project schedules and budgets.
• Implement project control processes and procedures that adhere to industry standards.
• Monitor project performance through data analysis and forecasting.
• Prepare periodic reports and dashboards to communicate project status, risks, and key performance indicators (KPIs).
• Collaborate closely with project managers and cross-functional teams to identify risks and implement corrective measures.
• Ensure compliance with corporate governance, financial, and risk management protocols.
• Support project change management processes by analyzing potential impacts and recommending solutions.
• Participate in meetings with stakeholders, contractors, and clients to discuss project progress and strategies.
Skills and Attributes:
• Strong analytical and problem-solving skills with attention to detail.
• Excellent verbal and written communication abilities.
• Proficiency in project management software (e.g., Primavera P6, Microsoft Project).
• Familiarity of project tracking software (Asana, Jira, etc an asset)
• Familiarity with python, streamlit, pyqt an asset.
• Advanced knowledge of Microsoft Excel and data visualization tools (e.g., Power BI).
• Ability to work under pressure and meet tight deadlines.
• Team-oriented approach with leadership potential.
• Experience with earned value management (EVM), rules of credit, cost performance index and schedule performance index and financial forecasting.
Responsibilities
Advanced Schedule Management:
• Develop, update, and maintain detailed project schedules, identifying critical paths and dependencies.
• Conduct schedule analysis, monitor milestone achievements, and proactively address potential delays.
• Use scheduling software (e.g., Primavera, MS Project) to create and manage project timelines, adjusting for scope changes and resource allocations.
Cost Control and Budgeting:
• Prepare project budgets based on initial project estimates and regularly update forecasts.
• Track project costs in real time and compare with budgets to report variances, trends, and potential overruns.
• Develop cost performance reports, including Earned Value Analysis (EVA) to measure project performance against budgets and timelines.
Project Reporting and Data Analysis:
• Generate detailed weekly and monthly reports for stakeholders, covering cost, schedule, risk, and overall project performance.
• Perform data analysis to identify trends, assess project health, and provide insights for decision-making.
• Ensure reporting accuracy and consistency by adhering to standardized project control processes and templates.
Risk Management:
• Actively identify and assess project risks, determining their potential impact on budget, timeline, and resources.
• Develop and implement risk mitigation strategies in collaboration with project teams.
• Regularly update risk registers and track the status of risk management actions throughout the project lifecycle.
Change Management:
• Evaluate the impact of project scope changes on budgets, schedules, and resource requirements.
• Support change control processes by documenting requests, assessing impacts, and obtaining approvals.
• Update project documentation to reflect approved changes and communicate updates to relevant stakeholders.
Stakeholder Communication and Coordination:
• Act as a liaison between project teams, stakeholders, and management to relay project performance updates and address concerns.
• Facilitate communication channels, ensuring information flows seamlessly across departments.
Documentation and Compliance:
• Oversee the creation and maintenance of essential project documentation, such as schedules, budgets, forecasts, and change orders.
• Ensure project documents are compliant with regulatory requirements, company standards, and industry best practices.
Resource Management:
• Assist in resource allocation and forecasting to ensure efficient use of team members, equipment, and materials.
• Track resource utilization and updating project schedules accordingly.
Process Improvement:
• Identify areas for improvement within project controls processes and suggest ways to enhance efficiency and effectiveness.
• Support the implementation of new project control tools and methodologies as directed by senior team members.
Certifications and Qualifications:
• Bachelor’s degree in engineering, Construction Management, or a related field is preferred..
• Certified Project Management Professional (PMP) or PMI Scheduling Professional (PMI-SP) is highly desirable.
• Certified Cost Professional (CCP) or a similar certification is preferred.
• A minimum of 5-10 years of relevant project control experience in the engineering, procurement and construction management sector.
• Familiarity with industry standards such as AACEI guidelines.
