How will you make a difference to PMI?

The Executive Events Planner is a detail-oriented professional that must have independent decision-making experience that ensures actions that align with budget, overall program objective and stakeholder expectations. Strong ability to make connections, manage large volume of work with short turnaround and support multiple colleagues at the same time. This is not a 9-5pm position and requires confidentiality and finesse due to nature of work. Meeting deadlines is a must.

What You’ll Bring To The Role

  • Direct support Executive, Senior Leadership and VIP meetings and events.
  • Responsibility includes the overall planning, execution of meetings and events, post event recap and billing reconciliation.
  • Liaise with business owners (CEO, Chief of Staff and other Executive Leaders) to develop and implement program needs. Includes but not limited to sourcing location, room set up, agenda times, audio-visual, menu selections, special events, ground transfers, and VIP needs
  • Administer and maintain online registration system
  • Interact with Travel Team to coordinate required travel itineraries
  • Prepare event budgets during planning and prepare final reconciliations.
  • Negotiate contracts and adhere to PMI Legal and Procurement processes
  • Work cross functionally with other departments
  • Adhere to all deadlines and turnaround timelines
  • As required, provide on-site program assistance (i.e. attend pre-con, advance all functions, confirm room set-ups, review banquet checks and assist with VIP needs)
  • Additional events and meetings to be assigned.

Role Qualifications

  • Minimum 5 years’ experience meeting/event planning experience
  • Experience in producing Executive meetings.
  • Sourcing and budgeting experience
  • Demonstrated vendor experience
  • Strong event management experience
  • Experience in event management solution software
  • Strong contract negotiation skills
  • Proficiency in Microsoft Office programs (ie Excel
  • Able to think critically about programs and services and apply creative solutions appropriately.
  • Strong interest in building relationships both internally and externally. This role includes interacting with customers and providing quality customer service and care.
  • Must have ability to execute detailed plans, collect and interpret data, and prepare concise summaries
  • Proficiency in the PMI business language (English)
