The ideal candidate will help ensure a smooth-running operation by handling administrative responsibilities, allowing our founder to focus on high-level work. Attention to detail, proactive communication, and reliability are critical in this role. To succeed in this role, you must thrive in a structured environment, balance long-term goals with daily tasks, and provide consistent updates to keep your manager informed and focused.

Some of your responsibilities will include:

  • Manage and triage emails, prioritizing and addressing high-priority items promptly
  • Draft and coordinate internal and external emails
  • Prepare and mail client cards for special occasions
  • Coordinate bulk mailings for partners
  • Schedule meetings and manage calendar appointments
  • Maintain and update a CRM for key contacts
  • Ensure the bookkeeping team receives all invoices for month-end close
  • Create and maintain to-do lists and weekly priority lists
  • Focus on high-priority tasks at the start of each day
  • Check in daily to review priorities and tasks
  • Monitor and communicate changes in priorities throughout the week
  • Handle admin and time-sensitive personal errands
  • Perform data entry and research as needed

Position Details

  • This is a remote 1099 contractor position, with the possibility of transitioning to a W2 within 12 months
  • The position will be 30-40 hours per week
  • Hours are Monday-Friday, within the business hours of 9:00 am5:00 pm EST
  • A quarterly stipend will be provided for home office and technology use
  • The pay rate is $25/hour USD
  • You must be able to pass a background check
  • We are looking for someone to become a long-term (3+ years) team member
