We’re looking for a highly organised, detail-oriented, and proactive Operations & Customer Success Coordinator to join our dynamic team for a 6-month fixed-term role with potential for extension depending on business goals & growth. You’ll play a critical role in ensuring the seamless delivery of our live training sessions, providing exceptional support to our clients, and helping to refine our operational processes.

Role Summary

You’ll collaborate with the Customer Success Lead (your manager), as well as the Product and Go-to-Market teams, to deliver AimHi Earth’s live and online training programmes and drive operational excellence that inspires positive change in individuals and organisations worldwide. The role will focus on operational tasks, customer success support, and process improvement, ensuring that our sessions run smoothly and our clients feel well-supported.

Your ability to stay organised, take initiative, and manage your time will make you an invaluable part of our team.


Key Responsibilities

Operational Support for Live Sessions (50%)
  • Preparing back-end logistics (e.g., scheduling attendee emails, updating databases, booking presenters/guests, promoting sessions via partners).
  • Following up after sessions (e.g., sending attendee digital badges and certificates).
Client Success Support (30%)
  • Assisting the Customer Success Lead in client communication (e.g., preparing onboarding documents, sharing resources, handling queries, arranging calls).
Process Improvement and Collaboration (20%)
  • Identifying inefficiencies in operational workflows and implementing solutions to enhance efficiency, such as working with the Product Manager to automate repetitive tasks or optimise session logistics.
  • Collaborating with the Product team on process improvements and aligning operational delivery with client success goals.
  • Exploring automation tools to reduce manual tasks and improve scalability.

Requirements

Essential Experience

  • At least 2 years of experience in operations, client support, or a related role.
  • Exceptional organisational skills with meticulous attention to detail.
  • Proven ability to work independently, balance and prioritise your own time, and meet deadlines.
  • Strong communication skills, including fluent spoken English and polished written grammar.
  • Confidence in learning and adapting to new tools and systems (see below for what we’re currently using).
  • The right to work in the UK.
  • Passion for AimHi Earth’s mission to combat the climate and nature crisis.

Nice to Haves 

  • Experience working as part of a remote team
  • Experience with process improvement or automation tools (e.g., Zapier, Make) to streamline session preparation, client communication, or database updates.
  • Familiarity with collaborative platforms (e.g., Slack, Google Drive, Notion, Asana).
  • Experience managing databases or using database tools (e.g., Airtable).
  • Previous roles in startups, sustainability-focused organisations, or fast-paced environments.
