We’re looking for an experienced Senior Events Marketing Specialist (based in the United States or Canada) with expertise in managing logistics and operations for large-scale virtual conference programs. Zapier’s mission is to make everyone more productive at work, and you’ll be at the forefront of creating engaging event experiences that connect Zapier with its vibrant community of users and showcasing the power of automation.
In this role, you’ll help bring Zapier’s flagship events, including ZapConnect, to life. ZapConnect, our annual virtual user conference, inspires and empowers our community of customers, partners, and industry experts to achieve more with automation. Additionally, this role will support operations for a smaller-scale, collaborative in-person event designed to build community and deepen engagement with Zapier’s brand.
A successful Senior Events Marketing Specialist will be detail-oriented, self-motivated, tech-savvy, and operations-minded. Thing You'll Do:
Support the Program Manager and Events Production lead in the successful logistics and operational execution of ZapConnect, Zapier’s annual virtual user conference.
Coordinate staff, volunteers, and moderators to ensure a seamless attendee experience for the virtual event.
Source and manage relationships with vendors, including event technology providers, agencies, and service partners.
Lead event operations for ZapConnect and support operations for the in-person, customer event, including event agency coordination, attendee logistics, staff management, and the preparation and distribution of materials.
Develop, implement, and maintain automation and systems to streamline event operations and improve efficiency.
Support the build-out, navigation, and attendee engagement tools within the event platform.
Collaborate with cross-functional teams to ensure projects stay on track, align with goals, and remain within budget.
Wrap up event logistics, analyze data findings, and contribute to retrospectives to inform future events.
Create, maintain, and share resources to prepare the team and broader company for event execution.
Contribute to the evolution of event operations by identifying opportunities for innovation and process improvements.
Travel up to 10% to assist with in-person event setup, execution, and teardown.
About You:
You’ve planned large-scale virtual conferences. You have 5+ years of experience managing events and a proven track record of successfully executing large-scale virtual conferences. You understand how logistics and operations contribute to impactful event experiences.
You are a skilled project manager. You excel at managing complex workflows, coordinating cross-functional teams, and keeping projects on track and within budget. You proactively seek opportunities to improve processes and introduce efficiencies.
You are tech-savvy. You have experience working with event technology and project management tools, and you’re eager to learn new technologies to improve efficiency.
You are highly organized and detail-oriented. You stay focused on priorities, ensuring every detail is accounted for to deliver seamless events.
You thrive on solving problems. You approach challenges with creativity, identifying innovative solutions to ensure the success of both virtual and in-person events.
You are a strong communicator. You communicate effectively across teams and create clear documentation to enable success in a remote, collaborative environment.
You are adaptable and resourceful. You’re comfortable wearing multiple hats and contributing to different aspects of event planning and execution.
You are passionate about creating exceptional attendee experiences. You bring empathy and a customer-focused mindset to your work, striving to craft events that not only leave a lasting impression but also foster meaningful connections.
