Primary Responsibilities

The Residential Manager oversees day-to-day management, operations, and resident satisfaction for residential-only areas and services. This role focuses on creating a comfortable living experience for residential unit owners, maintaining residential-specific common areas, and addressing resident concerns.

Key Duties and Responsibilities

Resident Relations and Services:

  • Serve as the primary point of contact for all residential owners and tenants regarding residential-specific matters.
  • Oversee and manage concierge staff to ensure exceptional resident service.
  • Address and resolve resident concerns unrelated to General Common Elements (e.g., unit-specific issues, hallways, or lobby concerns).
  • Provide support to residents regarding policies outlined in the Resident Handbook and/or Governing Documents.

Residential Maintenance and Oversight:

  • Oversee contracts and services for residential-only areas, including hallways, pool, fitness center, lobby, and other private spaces.
  • Manage work orders for maintenance and repairs related to residential spaces.
  • Ensure proper functioning and upkeep of residential-exclusive amenities and systems.
  • Address resident violations related to residential rules and standards.
  • Develop RFP’s for projects in residential spaces as needed.

Financial and Administrative Responsibilities:

  • Assist in the preparation of the residential budget.
  • Review and approve invoices for services exclusive to the residential common areas.
  • Provide financial updates related to residential-specific operations to the Board.
  • Maintain accurate records for residential owners, including updates to directories and service histories.

Vendor and Staff Management:

  • Oversee residential contractors, including janitorial, pool maintenance, concierge and amenity-specific services.
  • Ensure timely completion of residential maintenance projects.
  • Manage relationships with vendors servicing residential-only common areas.
  • Update the Community Manager on Residential projects and provide support or input if/when needed on Commercial/Shared projects.

Governance and Communication:

  • Attend Board of Directors meetings and assist in preparing the agenda and monthly management report
  • Communicate with residents regarding policies, updates, and ongoing projects related to residential areas.
  • Collaborate with the Community Manager on shared operational concerns while remaining focused on residential-specific duties.

Expressly Excluded Duties:

The following tasks are NOT the responsibility of the Residential Manager:

  • Overseeing General Common Elements (e.g., garages, building mechanical systems).
  • Addressing commercial owner or tenant-related concerns.
  • Managing building engineer responsible for General Common Elements.

Qualifications:

  • CMCA, AMS and/or PCAM designations
  • Proven experience in association management
  • Strong customer service and communication skills
  • Proficiency in residential management software and reporting tools (Vantaca, Strongroom, Building Link)
  • Knowledge of residential maintenance operations
