Job description

This is a remote position.

Schedule: 8:30 a.m. to 5:30 p.m. Central Time
With 1 hour unpaid break


Position Overview:

We are seeking a highly organized, dynamic, and proactive Executive Manager to oversee daily operations and ensure the smooth functioning of our practice. The Executive Manager will work full-time from 8:30 a.m. to 5:30 p.m. Central Time, playing a pivotal role in managing administrative tasks, supporting employees, and maintaining efficient operations. This role requires excellent communication skills, a problem-solving mindset, and the ability to manage multiple responsibilities simultaneously.


Key Responsibilities:

1. Employee Support & Human Resources
• Respond to employee inquiries promptly, addressing concerns and providing solutions in a professional manner.
• Act as the Human Resource Manager, assisting with recruitment, conducting interviews, and overseeing new employee onboarding.
• Monitor employee hours, attendance, and productivity, ensuring compliance with company policies.
• Manage payroll, including tracking hours, processing payments, and resolving discrepancies.

2. Administrative Oversight
• Answer emails and correspondence within minutes during work hours.
• Handle employee scheduling, shift adjustments, and leave management.
• Address employee grievances, mediating conflicts when necessary.

3. Operational Management
• Monitor and manage inventory, ensuring adequate stock of supplies.
• Oversee purchases, ensuring cost-effectiveness and timely procurement.
• Conduct regular audits of operational processes to maintain efficiency.

4. Leadership & Collaboration
• Supervise and mentor employees, fostering a positive and productive work environment.
• Assist in implementing and improving operational workflows and procedures.
• Serve as a liaison between management and staff, facilitating clear communication.

5. Compliance & Reporting
• Ensure the organization adheres to all relevant labor laws and regulations.
• Prepare and maintain accurate records, reports, and documentation as required.

Requirements
Qualifications:

• Education: Bachelor’s degree in Business Administration, Human Resources, Healthcare Management, or a related field preferred.
• Experience: Proven experience in administrative management, human resources, or a related role (5+years preferred). Experience in healthcare settings is a plus.

• Skills:

• Exceptional organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Proficiency in payroll systems, inventory management, and Microsoft Office Suite.
• Ability to handle sensitive information with confidentiality and professionalism.
• Quick response time and proactive problem-solving approach.
