INTECON, LLC is seeking a motivated and detail-oriented Event Specialist to support AFWERX’s Strategic Communications and Events Team. This role assists in coordinating and managing specialized events, conferences, and engagements that promote technology transition and collaboration between government, industry, and academia. The selected candidate will work closely with the Lead Event Specialist, ensuring the seamless planning and execution of high-profile events.
Roles and Responsibilities
The Event Specialist will:
- Assist in planning high-quality engagements with industry, government, and academic stakeholders, ensuring smooth execution from concept development to post-event evaluation.
- Coordinate logistical aspects of events, including venue selection, equipment rentals, transportation, accommodations, catering, and audio-visual setup.
- Develop detailed event timelines and schedules, ensuring tasks are effectively assigned and completed on time.
- Coordinate with vendors and suppliers to secure services and oversee contract fulfillment.
- Collaborate with AFWERX leadership, event coordinators, and the Strategic Communications Team to promote events and maximize participation.
- Ensure that all events adhere to military protocol, traditions, and etiquette, providing guidance to participants to maintain military standards.
- Support pre-event logistics, including registration management, agenda creation, and social event planning.
- Manage on-site event operations, overseeing event staff and managing event flow to ensure seamless execution.
- Identify potential risks and hazards, develop contingency plans, and implement safety measures to ensure participant well-being and security.
- Conduct post-event evaluations, including data collection and metrics tracking, to assess event success and recommend improvements.
- Research, compile, propose, and update event schedules in the government database or via the operations manager, ensuring long-term planning and efficiency.
- Travel as required to support event setup, execution, and stakeholder engagements.
Qualifications
Education
Degree in Event Management, Hospitality, Communications, Business Administration, Marketing, or a related field (preferred).
Experience
- At least 5 years of experience planning, organizing, and executing large-scale (300+ attendees) events, including conferences, conventions, symposiums, and training sessions (required if no degree).
- Proven experience in event coordination, particularly for large government or corporate events.
- Strong organizational and multitasking skills, with the ability to manage multiple tasks and priorities simultaneously.
- Excellent communication and interpersonal skills, with experience collaborating with diverse stakeholders.
- Proficiency in event management software and Microsoft Office Suite (Excel, PowerPoint, Outlook, SharePoint, Teams).
- Experience working with military customs, traditions, and protocol (preferred).
- Ability to adapt to irregular hours, including evenings and weekends, based on event requirements.
- Strong problem-solving and critical thinking skills, with high attention to detail.
- Proficiency in Google Workspace (Docs, Sheets, Slides, Drive) and digital communication tools.
- Ability to work independently in a dispersed, remote organization, ensuring effective event execution across multiple locations.
- Strong time management skills, capable of working under tight deadlines and changing priorities.
- Travel is required to support event planning, execution, and post-event analysis.
Certifications and Training
Preferred certifications:
- Certified Meeting Professional (CMP)
- Certified Government Meeting Professional (CGMP)
- Certified Special Events Professional (CSEP)
- Project Management Professional (PMP) (preferred but not required)
Proficiency in:
- Event management platforms (Cvent, Eventbrite, Bizzabo, Zoom Events)
- Project management tools (Jira, Asana, Trello, Monday.com)
- Virtual event hosting platforms (Microsoft Teams, Zoom, Webex, Hopin)
Specialized Training in:
- Government and DoD event planning and protocol management
- Hybrid and virtual event execution
- Risk assessment and contingency planning for event operations
Security Clearance
Active Secret Clearance required, with the ability to obtain Top Secret (TS/SCI) if needed.
