Job Description

We’re seeking a detail-oriented and adaptable Administrative Assistant to support a busy clinical psychology practice. In this role, you’ll be the backbone of our operations, ensuring smooth day-to-day functioning and freeing up our psychologist to focus on client care and practice growth. You’ll manage a diverse range of tasks, from invoice processing to client communications, all while maintaining the highest standards of confidentiality. This position offers the exciting opportunity to contribute to the expansion of mental health services, including the development of podcasts and international retreats. Responsibilities
  • Manage and track invoices, ensuring timely follow-ups and maintaining financial records
  • Handle client communications with professionalism and empathy, including sending personalized birthday greetings
  • Ensure compliance with Medicare system requirements by generating and submitting reports for first, sixth, and tenth sessions
  • Create and manage templates for various clinical reports and letters, streamlining documentation processes
  • Assist with scheduling and appointment management, optimizing the psychologist’s time
  • Maintain meticulous client records while adhering to strict confidentiality standards
  • Support the development of new initiatives, such as podcast production and planning for international mental health retreats
  • Manage email correspondence, filtering and prioritizing messages for efficient communication
  • Adapt to new tasks and systems as the practice grows and evolves

Requirements
  • Proficiency in email communication and basic office software
  • Familiarity with or willingness to quickly learn practice management software (experience with Cliniko is a plus)
  • Exceptional attention to detail and strong organizational skills
  • Unwavering commitment to maintaining client confidentiality
  • Excellent time management skills and ability to work independently
  • Adaptability and enthusiasm for learning new tasks and systems
  • Strong written communication skills
  • Ability to work remotely and manage time effectively
  • Interest in mental health and wellness is beneficial
  • Availability to work a minimum of 4 hours per day, 5 days a week
  • Flexibility to work within Australian time zones
