Billing Specialist

Resource Innovations is currently seeking a Billing Specialist to support billing and project set-up for its US-based business units.  This position will be based at our corporate office in Half Moon Bay and will report to the Project Accounting Manager.

The Billing Specialist in project accounting will be responsible for managing billing and collection processes related to specific projects. This role involves generating invoices, ensuring accuracy in financial documentation, maintaining billing records, and collaborating with project managers and accounting teams to ensure compliance with company policies and client contracts. The ideal candidate should be detail-oriented, organized, and have an understanding of accounting principles and project management frameworks.

Duties and Responsibilities

• Prepare and issue accurate invoices for clients based on project milestones, deliverables, or time-based agreements.
• Verify billable hours, materials, and expenses with project teams to ensure alignment with contract terms.
• Maintain accurate and up-to-date billing records for all assigned projects.
• Reconcile discrepancies in billing and payment records, resolving any issues promptly.
• Generate periodic reports on billing status, revenue projections, and accounts receivable for management review.
• Work closely with project managers to review project contracts and understand billing requirements.
• Coordinate with the accounting team to ensure timely posting of invoices and payments.
• Ensure all billing activities comply with company policies, accounting standards, and regulatory requirements.
• Assist in identifying and implementing process improvements to enhance the efficiency and accuracy of billing operations.
• Provide support for audits by preparing documentation and responding to inquiries related to project billing.
• Other duties as assigned.

Requirements

• B.A. degree in accounting or B.A. / B.S. Degree in related field
• Minimum of 5 years of experience in billing, accounts receivable, or a similar role.
• Candidates must be located in Eastern or Central time zones.
• Oracle experience is a plus
• Advanced knowledge of Microsoft Office systems, including Excel and Word
• Keen attention to detail and strong organizational skills
• Exceptional time management skills, with the ability to multi-task
• Excellent written and verbal communication skills
• Team player who can identify and initiate process improvements
• High level of initiative and ability to meet deadlines
• Familiar with a variety of accounting concepts, terminology, practices and procedures
• Ability to follow through on commitments and demonstrate ownership of results

The compensation range for this exempt position is $50,000 - 65,000. The stated range is based on a good faith estimate of the compensation range for the duties, responsibilities and skills / experience required for the position. Starting pay will be dependent on experience and internal equity. This range may be exceeded for well-qualified candidates, especially with industry experience.
