We are seeking a detail-oriented and organized Full-Time Property Management VA to support our client.
The client has a proven track record for street and suburb records across Queensland. About The Role
In this role, you will be supporting the property management team by organizing and managing property-related information and tasks. Your responsibilities will include handling property data, coordinating maintenance requests, managing lease renewals, and maintaining accurate records across multiple platforms.
Compensation: 1,000AUD/month (paid twice a month),
Schedule: Mondays to Friday 8:30 am to 5:30pm AEST (6:30am to 3:30pm Manila Time including a 1hr unpaid lunch break (40hrs/week)
Availability: Start ASAP
Responsibilities
Property Familiarization:
Review property labels to access related emails and updates.
Keep track of activities and status for each property.
Calendar Management:
Schedule and track property management events using Google Calendar.
Contact List Management:
Use the “NGU Universal Contact List” in Google Sheets to provide contact information as needed.
Document Management:
Manage documents in Dropbox
Follow the “Property Me Manual” for document naming conventions.
Property Me System Tasks:
Generating Entry Notices (Form 9):
Input property address and relevant details.
Ensure all necessary signatures are obtained.
Smoke Alarm and Maintenance Requests:
Ensure smoke alarms are tested within 30 days before tenant moves in.
Create and manage maintenance requests, including details, deadlines, and photo uploads.
Handle request approvals and supplier assignments.
Lease Renewal Coordination:
Notify property owners about upcoming lease expirations.
Recommend rental increases based on current market trends.
Notice to Remedy Breach:
Access Realworks to complete Form 11 for breach notices.
Ensure all required information is accurately entered.
Property Listings in REX:
Search for properties and create rental listings.
Complete listing details, address validation errors, and publish the listing.
Confirm the listing is active and properly documented.
Compliance with client-specific organisational guidelines is a must.
Qualifications
Bachelor’s degree relevant to the role
Minimum of 3+ years of experience as a Virtual Assistant in a similar role
Excellent written and verbal English communication skills
Previous experience in property management or administrative roles is preferred.
Proficient in Google Calendar, Google Sheets, Dropbox, Realworks, and REX.
Strong organizational and communication skills with attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Demonstrate a strong ability to adhere to strict professional codes of conduct and ways of working.
Ability to adapt to specific organizational cultural norms
The candidate must be proficient in the following tools:
PropertyMe, Ignite, Inspect Real Estate, Realworks, REX
