About the Role

We are looking for a highly organized and detail-oriented Part-Time Bookkeeper & Personal Assistant to support our business operations. This role requires expertise in FreshBooks for bookkeeping tasks and a proactive approach to administrative support. The ideal candidate is efficient in financial management, task coordination, and client relations while being adaptable to additional e-commerce and design-related tasks.

Key Responsibilities
Bookkeeping & Financial Tasks
  • Manage daily financial transactions using FreshBooks, ensuring accuracy and proper categorization.
  • Reconcile bank and credit card accounts on a regular basis to maintain accurate financial records.
  • Process and track invoices, payments, and outstanding receivables, ensuring timely follow-ups.
  • Prepare financial reports, including profit & loss statements, balance sheets, and cash flow reports.
  • Monitor expenses and budget tracking, identifying discrepancies and cost-saving opportunities.
  • Maintain vendor and client financial records, ensuring all transactions are recorded and up to date.
Administrative & Personal Assistance
  • Organize schedules, manage appointments, and set reminders.
  • Handle emails, calls, and follow-ups with clients and leads.
  • Maintain databases and track ongoing projects.
  • Prepare reports, spreadsheets, and essential business documents.
Bonus Skills (Design & E-Commerce – Plus, but not required)
  • E-Commerce & Shopify Support – Experience in maintaining and updating Shopify stores.
  • Assist with product page design, layout adjustments, and visual merchandising.
  • Familiarity with basic graphic design tools (e.g., Canva, Photoshop) for creating product images, banners, or marketing materials.
  • Understanding of user experience (UX) and branding consistency in an online store environment.
Qualifications & Requirements
  • Bachelor’s degree in Accounting or a related field is required.
  • Minimum of 3 years of experience in accounting or bookkeeping.
  • Proficiency in FreshBooks or similar accounting software.
  • Strong understanding of financial reconciliation, invoicing, reporting, and expense tracking.
  • Experience with budget management and expense tracking.
  • Proficient in Microsoft Office/Google Workspace, particularly Excel and financial reporting tools.
  • Ability to multitask, work independently, and meet deadlines.
  • Strong communication and follow-up skills.
  • (Optional) Familiarity with Shopify or willingness to learn.
