As we scale in 2025, we need a versatile, high-energy, Operations Coordinator to join the Awesomely Team! to support (or awesome) VP of Operations in ensuring the smooth operation of the company.
This role combines elements of an Executive Assistant, Project Manager, and Hiring Coordinator, requiring a unique blend of administrative, project management, and coordination skills. The ideal candidate will be a proactive team player with excellent communication skills and the ability to work effectively across departments.
What You'll Do:
Executive Support
• Provide administrative support to the VP of Operations, including managing calendars, coordinating travel arrangements, and preparing correspondence.
• Ensure seamless communication and coordination with senior leadership and department heads.
• Assist VP of Operations achieve Inbox Zero on all team communications platforms.
Project Management
• Assist in managing a variety of projects from initiation to completion, ensuring timely execution and adherence to project goals.
• Coordinate with all departments to ensure project deliverables are met and action items are followed up on, while maintaining project documentation and reports.
Hiring Coordination
• Assist in the hiring process by ensuring job postings are live and up-to-date and manage incoming candidates, ensuring no candidates are left behind!
• Coordinate with hiring managers to facilitate the interview process and ensure all necessary materials are prepared and candidates are having a great experience.
Operational Execution
• Organize meeting notes and ensure follow-through on action items from meetings with owners and department heads.
• Ensure all Ops and HR checklist tasks are completed and maintain compliance with company policies.
• Assist in preparing materials for weekly, quarterly and annual meetings.
Process Improvement & Collaboration
• Identify opportunities for process improvements and suggest solutions.
• Assist in implementing new operational processes and procedures.
• Work closely with all departments to ensure operational efficiency and alignment with company goals.
• Foster a positive and productive work environment by promoting company culture and values.
What You Need to Succeed:
• 1-3 years of experience in an operations, executive administrative, or project management role [blended].
• Highly detail oriented, with strong organizational and time management skills.
• Excellent communication and interpersonal skills, with the ability to work independently and as part of a team.
• Proficiency in Word, Excel, Google Workspace and other office tools.
• Experience with coordination and project management tools (e.g., Asana, Trello) is a plus [bonus points for using Teamwork].
• A super positive attitude, along with strong problem-solving skills and the ability to quickly adapt in a fast-paced environment.
• Ability to work intuitively with minimal supervision (guidance & guidelines will be provided by the VP of Operations, which is different from supervision).
