Job Requirements:

  • 5+ years of proven experience in appointment scheduling, customer service, or similar roles (experience in a dental or medical clinic preferred). 
  • Strong communication skills, both verbal and written. Excellent organizational skills with attention to detail.
  • Ability to multitask and manage time efficiently in a fast-paced environment. 
  • Proficient in using scheduling software or appointment management systems. 
  • Friendly, professional demeanor with a patient-centered approach.

Core responsibilities:

  • Call patients to confirm upcoming appointments and reschedule if necessary. 
  • Proactively contact existing patients to book routine check-ups and follow-up appointments. 
  • Manage the clinics appointment calendar, ensuring optimal scheduling for both patients and staff. 
  • Handle appointment cancellations or changes in a timely manner, filling any open slots as needed. 
  • Respond to patient inquiries regarding appointment availability and scheduling policies. 
  • Maintain accurate records of patient communications and scheduled appointments. 
  • Provide polite, professional, and friendly customer service in all interactions. 
  • Collaborate with dental staff to ensure smooth daily operations and patient flow. Send appointment reminders via phone, email, or text message as required. 
  • Update and maintain patient contact information and appointment history in the clinics database. 
  • Handle other administrative tasks related to appointment management.
