We are seeking a highly organized and proactive Executive Assistant to provide top-level support to a high-level executive in a fast-paced, innovative company specializing in digital advertising and marketing technology. The ideal candidate is a detail-oriented professional with excellent communication skills and the ability to manage multiple priorities efficiently. You take pride in maintaining organization, handling sensitive information with discretion, and ensuring seamless day-to-day operations for the executive you support.
As the Executive Assistant, you will provide excellence by:
Managing and organizing communications, including monitoring, sorting, and responding to emails, LinkedIn messages, and other correspondence as appropriate.
Handling calendar management by scheduling meetings, appointments, and coordinating availability across time zones.
Performing data entry tasks, such as extracting information from emails or files and accurately copying/pasting it into new documents or emails.
Acting as a gatekeeper and liaison, ensuring efficient communication between the executive and internal/external stakeholders.
Assisting in the preparation of reports, presentations, and key business documents.
Supporting project management efforts by tracking deadlines, coordinating deliverables, and maintaining key documentation.
Conducting research and gathering relevant data to support executive decision-making.
Maintaining confidentiality and discretion in all communications and tasks.
Assisting with additional administrative tasks as needed to enhance executive efficiency.
Do you have what it takes to be our Executive Assistant?
Consider yourself highly qualified if you have:
At least 5 years of experience as an Executive Assistant or in a similar administrative support role, preferably in a digital advertising, marketing technology, or fast-growing tech company.
Exceptional organizational and time management skills.
Strong written and verbal communication skills, with the ability to draft professional emails and responses.
Proficiency with scheduling tools, email management systems, and Microsoft Office/Google Suite.
Experience with LinkedIn and other professional communication platforms.
High attention to detail and the ability to manage multiple tasks with efficiency.
A proactive mindset with the ability to anticipate needs and solve problems independently.
The ability to work independently and handle sensitive information with discretion.
Must currently reside in the Philippines.
Expected Work Hours and Timezone
This is a full-time, remote role that follows U.S. business hours. Flexibility may be required based on the executive’s schedule and business needs.
