We are a dynamic film production and real estate company based in Los Angeles, CA. With over 20 years of filmmaking experience, the CEO has more than a dozen projects in various stages of development, while also managing a multi-million dollar rental real estate portfolio.

JOB SUMMARY

We are seeking a versatile Administrative Assistant who excels in a dynamic environment, capable of managing both administrative responsibilities and creative projects, such as crafting presentations. This role presents a unique and rewarding opportunity to work across two exciting industries: real estate and the Hollywood film business.

Providing direct support to the owner, you will engage in a range of fun and fulfilling activities. On the film side, your duties will include reaching out to publishers to secure rights for book adaptations into movies and TV shows and conducting research to gather additional information. In the realm of real estate, you will monitor properties, communicate with tenants, and assist with bookkeeping tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES

General and Real estate side

Meetings:

  • Attend and actively participate in daily and weekly meetings with the CEO

Administrative Support:

  • Manage the CEO’s calendar/schedules and provide a daily list of most important tasks for the CEO, along with notes with context for each meeting of the day for him.
  • Handle all forms of correspondence, ensuring all communications are managed timely and professionally.
  • Organize and maintain documents to ensure they are easily accessible and well arranged.

Email Management:

  • Oversee the CEO’s inbox, ensuring emails are prioritized and responded to promptly, maintaining high standards of communication.

Scheduling and Coordination:

  • Coordinate the schedules of field staff, technicians, and contractors to ensure optimal productivity and to meet the needs of clients and tenants effectively.

Travel Arrangements:

  • Manage travel arrangements for the CEO, including booking flights, hotels, and transportation. Ensure all travel details are tracked and managed efficiently.

Record-Keeping:

  • Maintain records of work orders, invoices, and other essential documents using company systems to ensure accuracy and prompt access to information.

Bookkeeping Support:

  • Assist with bookkeeping tasks, contributing to the accurate and timely maintenance of financial records.

Film Side Responsibilities:

  • Identify and contact rights holders to secure permissions for adapting books and other content into movies and TV shows.
  • Design pitch decks and develop presentations, incorporating sourced images to effectively communicate the project's vision to potential financiers and producers.
  • Source images on the internet



QUALIFICATIONS

  • 3-5 years of experience as an Administrative Assistant with Real estate background and Photoshop
  • Able to work 40 hours per week.
  • Proficiency in Photoshop
  • Graphic design aptitude or experience.
  • Excellent verbal and written communication skills in English
  • Motivated, driven, and creative.
  • Strong organizational skills with the ability to manage multiple tasks.
  • Very good research skills.
  • Strong time management and calendar coordination abilities.
  • Ability to adapt and improvise in a fast-paced environment with a constantly changing approach.
  • Reliable internet connection and a working computer.
  • Speaks basic Japanese (NOT REQUIRED, but a plus).
