Job description

This is a remote position.

Virtual Rockstar is currently seeking a full-time Medical/ Administrative Assistant to join our client’s dynamic team and help them manage the administrative and operational functions of their home health therapy practice. This is an exciting opportunity to become part of a mission-driven organization dedicated to delivering high-quality patient care.

The ideal candidate will handle a variety of administrative tasks including billing, insurance, HR/hiring, and general office management. This role will involve a combination of virtual patient support, medical record management, and coordination with medical and insurance staff. A strong candidate will have experience working in healthcare administration, but we are also open to those willing to learn and grow with us.

Responsibilities:

  • Patient Scheduling & Coordination:

    • Confirm and manage patient appointments and daily schedules

    • Coordinate with medical staff to ensure smooth operations

    • Handle appointment rescheduling and patient inquiries via phone and email

    • Maintain patient records, ensuring accuracy and confidentiality

  • Insurance & Billing Support:

    • Verify patient insurance coverage and obtain pre-authorizations for procedures

    • Explain insurance benefits to patients and liaise with insurance providers to clarify coverage details

    • Process and submit insurance claims and follow up on unpaid claims

    • Post payments to patient accounts and resolve billing discrepancies

    • Review and appeal denied claims, ensuring compliance with coding and billing regulations

    • Generate billing reports for management and assist with financial record-keeping

  • HR & Hiring Support:

    • Assist with the HR/hiring process to onboard new staff

    • Help set up and manage the hiring process and ensure compliance with company policies

  • Administrative Support:

    • Answer calls and assist patients with virtual queries

    • Manage appointment reminders and follow-up communications

    • Perform data entry and generate basic reports

    • Maintain electronic medical records and email correspondence

    • Contact patients for feedback and maintain waitlists for appointments

Preferred Skills & Experience:

  • Experience with healthcare administration is a plus

  • Familiarity with the following platforms is preferred (but not required):

    • HelloNote

    • VMM/Go High Level

    • Microsoft Excel & Word

    • Wave



Requirements
  • Strong organizational skills with attention to detail

  • Excellent communication skills, both written and verbal

  • Ability to manage multiple tasks and prioritize effectively

  • Experience in handling sensitive patient information with confidentiality

  • Ability to work independently in a remote setting

  • Knowledge of medical terminology and healthcare processes is a plus
