Experience Level: 2.5 - 5 years of experience as a Virtual Assistant, preferably within the real estate or nonprofit sectors. Email & CRM Proficiency: Strong experience managing contact databases, CRM tools, and email marketing platforms (e.g., Mailchimp, Constant Contact, or alternatives). Graphic Design Skills: Proficiency in Canva for designing newsletters, email templates, and marketing materials. Strong Written Communication: Excellent English writing skills for professional email correspondence, newsletters, and client communications. Detail-Oriented & Organized: Ability to manage multiple responsibilities, maintain an organized workflow, and ensure all outreach tasks are completed accurately and on time. Proactive & Adaptable: Able to work independently, identify process improvements, and take initiative in streamlining administrative tasks.

Core responsibilities:

Email & Database Management: Organize and maintain client and donor databases by inputting contact details from business cards, tracking leads, and managing follow-ups for both the nonprofit and real estate business. Client & Donor Follow-Ups: Draft professional email responses, send follow-ups to real estate clients and nonprofit supporters, and track engagement with campaigns and outreach efforts. Administrative & Scheduling Support: Maintain calendars, schedule meetings, and ensure all appointments, networking events, and outreach follow-ups are well-organized. Research & Platform Optimization: Identify better tools for email marketing and database management, ensuring newsletters reach audiences effectively while minimizing spam folder delivery. Newsletter Creation & Distribution: Help design and format newsletters using Canva, ensuring engaging and informative content is distributed efficiently through email marketing platforms or direct email campaigns. General Data Entry & Document Organization: Digitize and maintain accurate records, input client/donor information into spreadsheets or CRM tools, and organize essential documents for easy retrieval.
