Position Summary:

The Bookkeeper / Administrative Assistant will play a key role in maintaining accurate financial records and supporting accounting and tax functions for our clients. This position involves a broad range of accounting and administrative tasks, including data entry, reconciliations, financial reporting, payroll processing, and office management. Additionally, the role requires experience in tax compliance, including GST, BAS, PAYG, and income tax preparation, ensuring adherence to Australian taxation laws and regulations. The ideal candidate will have a strong foundation in bookkeeping and accounting, experience with tax compliance and reporting, and the ability to work independently while maintaining accuracy and efficiency in financial operations.

Key Responsibilities:

Bookkeeping & Financial Tasks:

  • Accurately record financial transactions in the accounting system, including invoices, receipts, and payments.
  • Perform regular bank and credit card reconciliations to ensure accuracy and completeness of financial records.
  • Manage accounts payable and receivable processes, including invoicing clients, processing payments, and following up on outstanding balances.
  • Prepare and generate financial reports, including balance sheets, income statements, and cash flow statements.
  • Assist in processing payroll, ensuring compliance with relevant laws and regulations.
  • Provide support for tax preparation, including organizing and maintaining tax documents and records.
  • Communicate with clients to gather necessary information and provide updates on their financial status.
  • Ensure compliance with all accounting policies, procedures, and regulations.
  • Prepare and review financial statements, ensuring accuracy and compliance with relevant accounting standards.
  • Assist in the preparation and filing of individual, corporate, partnership, and trust tax returns.
  • Build and maintain strong relationships with clients, providing exceptional service and addressing their accounting and tax-related needs.

Administrative Tasks:

  • Maintain and organize financial records, documents, and reports in both digital and physical formats.
  • Assist with scheduling meetings, appointments, and maintaining client correspondence.
  • Handle general office administration, including responding to emails.
  • Prepare and distribute invoices, reports, and financial statements to clients and internal stakeholders.
  • Support the management team with data entry, document preparation, and general clerical duties as needed.
  • Ensure proper filing and documentation of contracts, agreements, and other financial records.
  • Assist in onboarding new clients by collecting required financial information and setting up accounts.

Skills:

  • 2-4 years of experience in Australian public accounting, with a focus on bookkeeping, admin. Tasks, tax preparation and financial statement preparation.
  • Proficiency in accounting software (Xero, Quickbooks & MYOB).
  • Strong understanding of accounting principles and tax regulations.
  • Excellent analytical and problem-solving abilities.
  • High attention to detail and organizational skills.
  • Effective verbal and written communication skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Strong client service orientation and interpersonal skills.
