Job description

This is a remote position.

Schedule: Monday to Friday 8 am - 5 pm CST. Includes 1 hour unpaid break (40 hours per week)

Responsibilities:

HubSpot Mailbox Management: 
  • Monitor and manage customer inquiries, support tickets, and emails in HubSpot. 
  • Respond promptly and professionally to customer inquiries, ensuring a high standard of customer service. 
  • Route inquiries to the appropriate team members, ensuring timely resolution. 
  • Troubleshoot and resolve any customer issues through email correspondence. 
  • Ensure the accuracy of customer data and correspondence within HubSpot. 
  • Generate reports to track response times, ticket resolution, and customer satisfaction. 

Shopify Order Fulfillment: 

  • Process and fulfill orders from multiple suppliers on Shopify. 
  • Ensure that all orders are properly logged, packaged, and shipped according to each supplier's specifications. 
  • Coordinate with suppliers to ensure timely shipping and stock levels. 
  • Resolve any discrepancies between orders and deliveries. 
  • Maintain accurate inventory levels and update stock statuses within Shopify. 
  • Manage customer communications regarding order statuses, tracking numbers, delays, or issues. 

Training and Onboarding: 

  • Complete an intensive 2-week training program to gain proficiency in HubSpot and Shopify. 
  • Learn company processes, policies, and procedures for both platforms. 
  • Stay updated on new features and best practices for using HubSpot and Shopify to improve efficiency. 

General Administrative Support: 

  • Assist with data entry and record-keeping related to customer orders and support cases. 
  • Collaborate with team members and other departments (e.g., marketing, logistics) to resolve customer inquiries and ensure a smooth order process. 
  • Maintain and organize documentation for order fulfillment procedures and customer support tickets. 

Qualifications:
  • 1-3 years of experience in customer support or a related role. 
  • Proven experience with HubSpot (for email management, ticketing, and CRM purposes) and Shopify (for order processing, supplier management, and inventory tracking). 
  • Strong written and verbal communication skills. 
  • Ability to manage multiple tasks and priorities effectively. 
  • Detail-oriented with strong organizational skills. 
  • Ability to work independently and as part of a team. 
  • Proficiency with office software (Microsoft Office). 
  • Strong problem-solving skills and ability to troubleshoot customer issues. 

Preferred Qualifications: 

  • Familiarity with order fulfillment processes across multiple suppliers. 
  • Experience in eCommerce environments or in roles requiring cross-functional communication. 
  • Knowledge of customer service best practices and KPI tracking. 
  • Previous experience with HubSpot workflows, email automation, and reporting tools.
