Virtual Rockstar is looking for a Medical Virtual Assistant to join our dedicated team. This is a full-time, remote position that will involve a range of administrative and patient support responsibilities, including insurance verification, scheduling, patient record management, and communication. The ideal candidate will have experience with tools such as HelloNote EMR and Google Drive, but our client is willing to train the right person.

Responsibilities:
Insurance & Billing:
Verify patient insurance coverage and benefits.
Follow up on denied claims and initiate appeals.
Secure insurance authorizations for treatments.
Follow up on unpaid claims and assist with generating billing reports for management.
Patient Scheduling & Appointment Management:
Schedule patient appointments and coordinate telehealth sessions.
Confirm appointments and send appointment reminders.
Manage and update the appointment calendar for therapists.
Handle patient inquiries via phone or email.
Reschedule appointments as needed.
Patient Coordination:
Greet patients and provide directions within the facility.
Coordinate patient referrals from other healthcare providers.
Send personalized communications to patients, including exercise and treatment plans.
Follow up with patients post-session to check on their progress.
Medical Staff Coordination:
Coordinate with medical staff to manage daily schedules and ensure a smooth flow of operations.
Maintain and update patient records within the EMR system.
Ensure patient privacy and confidentiality at all times.
General Administrative Support:
Call MD offices for plans of care, referrals, and other necessary information.
Respond to frequently asked questions (FAQs) from patients.
Handle general patient inquiries and ensure all information is accurately recorded.
Manage referrals and coordinate with other healthcare providers.
Experience with Hellonote EMR, Google Drive/Gmail, Google Meets, Square, Availity, Inovolan clearinghouse, UHC provider portal, Cohere Health portal, Band app, and Wix.com is preferred, but not required.
Strong organizational skills with the ability to multitask effectively.
Excellent communication skills, both written and verbal.
Detail-oriented with the ability to maintain confidentiality and handle sensitive information.
Previous experience in a medical administrative role, especially in physical therapy or healthcare, is a plus.
A positive attitude and ability to work well in a team-oriented environment.
