  • 4 hours/day, Monday-Friday, 9:00 AM - 1:00 PM (11:00 PM to 3:00 AM Manila Time)

We’re seeking a tech-savvy, self-driven Podcast & Operations Virtual Assistant to join our growing team. In this role, you’ll manage our flagship podcast production process, handle customer support initiatives, and maintain crucial business metrics. This position offers an exciting opportunity to work with cutting-edge tools while contributing to the success of a thriving online education business. Job Responsibilities:

  • Primary Focus: Develop, implement, and manage a comprehensive customer support system using Intercom. This includes setting up workflows, automations, and knowledge base content to optimize the customer experience.

  • Intercom Management: Act as the primary administrator for Intercom, ensuring efficient handling of customer inquiries, providing timely support, and creating and uploading Standard Operating Procedures (SOPs) to the Intercom knowledge base.

  • Podcast Production: Manage the end-to-end production of two weekly podcast episodes using Captivate.fm, including coordination with editors via Upwork, visual asset creation in Canva, link management with Podupper, and guest communication.

  • Customer Communication: Manage customer inquiries across various platforms and handle guest communication via email.

  • Data Management: Maintain and update business metrics in Airtable.

  • Platform Management: Process course-related tasks through Samcart and maintain client-facing interfaces using Softr.

  • Project Support: Support quarterly collaboration projects and special initiatives.



Requirements

  • Intercom Expertise or Aptitude:

    • Experience with Intercom or a demonstrated ability to quickly learn and master customer support platforms.

    • Understanding of customer support best practices and ability to create efficient workflows within Intercom.

  • Technical Proficiency and Software Adaptability:

    • Strong technical aptitude and ability to quickly learn and utilize new software platforms, including but not limited to Airtable, Softr, Canva, and podcast management tools.

    • Proficiency in using Asana for project management.

  • Communication and Collaboration:

    • Excellent written communication skills, with the ability to convey complex information clearly and concisely.

    • Proficiency in creating clear and effective Loom video tutorials and explanations.

    • Active and responsive communication via Slack during Central Time (Dallas, TX) business hours.

  • Problem-Solving and Initiative:

    • Self-motivated problem-solver with the ability to research and implement solutions independently.

    • Proactive approach to identifying and resolving potential issues.

    • Strong ability to create and maintain knowledge base documentation.

  • Organizational Skills and Attention to Detail:

    • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and priorities effectively.  

    • Ability to maintain and update metrics accurately.  

  • Independent Work Ethic:

    • Ability to work independently with minimal supervision.

    • Experience in customer support or willingness to learn support systems.
