Job Description

As a Property Management Assistant for our forward-thinking real estate firm, you’ll be the linchpin of our day-to-day operations, ensuring smooth communication between tenants, property managers, and owners. This remote position offers the flexibility to work from anywhere while being at the center of our property management activities. You’ll handle a wide range of tasks, from scheduling maintenance to responding to tenant inquiries, and potentially assist in business development efforts. This role is ideal for a proactive, organized individual with excellent communication skills and a passion for real estate. Bilingual candidates (English/Spanish) are especially encouraged to apply, as you’ll have the opportunity to serve our diverse tenant base effectively.

Responsibilities
  • Manage and optimize day-to-day scheduling for multiple properties, ensuring efficient operations
  • Serve as the primary point of contact for tenant inquiries, promptly responding via email and text messages
  • Coordinate and follow up on maintenance requests, ensuring timely resolution of issues
  • Assist in tenant communication, including lease renewals, rent collection reminders, and property updates
  • Support property managers in administrative tasks related to lease agreements and property documentation
  • Utilize property management software to maintain accurate and up-to-date records
  • Potentially reach out to other property owners in the area to explore acquisition or management opportunities
  • Assist in creating and distributing marketing materials for vacant units or new services
  • Collaborate with the accounting team to ensure accurate and timely rent collection and expense tracking
  • Contribute to the development of strategies to improve tenant satisfaction and retention
Requirements
  • Previous experience in property management, customer service, or a related field
  • Excellent communication skills, both written and verbal, with a focus on professional and courteous interactions
  • Fluency in English required; Spanish fluency is a strong advantage for serving our diverse tenant base
  • Proficiency in using property management software and Microsoft Office suite
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
  • Detail-oriented with a keen eye for accuracy in documentation and record-keeping
  • Ability to work independently and proactively in a remote setting
  • Customer-service oriented with a positive attitude and problem-solving mindset
  • Familiarity with real estate terminology and practices is beneficial
  • Flexibility to occasionally handle urgent matters outside of regular working hours
  • Associate’s or Bachelor’s degree preferred but not required for candidates with substantial relevant experience
  • Willingness to learn and adapt to new technologies and processes as the company grows
