Job description

Working under the direction the Director of Payroll, the Payroll Specialist I/II ensures accurate and timely execution of Bi-weekly payroll processing using ADP, ADP Workforce Now, Workday, and Oracle Electronic Busines Suite (EBS) (or most current payroll, HRIS or ERP systems in use by the Company) according to the departments practices and procedures in order to ensure compliance with internal controls and audit requirements. This position works effectively with all levels of employees.

The Payroll Specialist I/II is a member of the Payroll team who works independently and with minimal direction to ensure all duties are accomplished providing subject matter expertise to the Payroll department, management, employees and subsidiary/summit companies.

  • Assist in processing bi-weekly payroll and off-cycle payroll runs.
  • Helps to process manual or out-of-cycle payments, including terminations, retro pay, paid time off, bonuses, and commissions.
  • Compiles and accurately enters data for new hires, employee-initiated changes, employee-elected deduction adjustments, wage garnishments, employee tax withholding and changes, and bank information changes into MedImpact’s payroll system software.
  • Verifies all payroll-related forms are complete, accurate, and have appropriate authorizations.
  • Audits employees’ electronic timecard records for compliance with established Payroll standards.
  • Verify that the back-up for each payroll meets standard operating processes, audit, and retention requirements.
  • Maintains bi-weekly payroll files, including appropriate back-up documentation.
  • Prepares regular and periodic reports:
  • Verifies and validates new hires, terminations, and leaves of absence.
  • Reconciles hours uploaded into the payroll system on a regular and established schedule.
  • Researches, analyzes, and resolves payroll problems or questions and ensures appropriate follow-up.
  • Assists in the process to reconcile, review, and validate quarterly and annual tax reports. Ensures accurate year-end and Form W-2 processing.
  • Assists the Payroll Manager and Payroll Analyst with bi-weekly and month-end reports for the Accounting department. Assist to ensure timely and accurate payroll General Ledger reports.
  • Responsible for running GL reports and uploading the GL into EBS after each pay period close.
  • Performs data entry of quarter-end and year-end adjustments such as relocations, taxable fringe benefits, personal use of corporate jets, etc.
  • Assist and prepare cash management entries for payroll and payroll-related disbursements.
  • Makes recommendations for operational improvements and streamlining work processes.
  • Other duties may be assigned.

In addition to the above duties, the Payroll Specialist I/II is responsible for the following:

  • Works with payroll team to troubleshoot payroll processing, time & labor issues, as well as works to discover root cause analysis.
  • Collaborates with payroll management, information technology, and human resources to bring issues to resolution.
  • Assists with setting up new state and local tax jurisdictions as needed for company expansion and/or employees’ residence.
  • Helps maintain filings with ADP by compiling quarterly files and updating UI rates to ensure both systems are accurate and in agreement.
  • Works with HR team members on employee benefit changes to ensure correct deductions are taken from employees’ paychecks.
  • Monitors the payroll email inbox for payroll-related inquiries. Researches issues, provides resolution, and responds to emails.
  • Works directly with management to discuss errors and discrepancies on employees’ time cards.
  • Regularly seeks out and attends job-related training; recommends adoption and implements relevant “best practices” into MedImpact’s payroll operations.
  • Serves as the subject matter expert and trainer for time entry into employee self-service.
  • Serves as a back-up for the Payroll Manager and Payroll Analyst during vacations or absences.
  • Completes ad-hoc assigned tasks and projects.
  • Software experience (ADP Workforce, Oracle EBS, Workday)
    • Open to alternative software experience but must have substantial / deep experience using these. Provide summary to what extend they are using these accounting and HRIS software alternatives
  • Strong Foundational knowledge (payroll and accounting)
  • High proficiency in Excel
  • Accounting Experience
  • US Taxes / Regulations experience or familiarization
  • Must be a quick learner
