Role Overview:
As a Care Operations Specialist, you’ll be the first point of contact in a patient’s healthcare journey, ensuring they feel valued and supported. This role requires strong attention to detail, efficiency in processing patient information, and a warm, professional communication style to put patients at ease. You'll take full ownership of patient inquiries, proactively resolving or escalating cases as needed. Definitely, this is for individuals who are passionate about delivering compassion, patient-centered care with accountability.
Key Responsibilities:
- Serve as the first point of contact for patients, ensuring a welcoming and professional experience.
- Collect and verify patient information while maintaining accuracy and confidentiality.
- Schedule appointments efficiently, ensuring all necessary details are recorded.
- Conduct initial patient screenings and direct them to the appropriate provider or service.
- Manage and update patient records in EMR (Electronic Medical Records) systems.
- Respond to inquiries via phone, email, and chat with empathy and professionalism.
- Provide pre-appointment guidance, ensuring patients understand documentation requirements and next steps.
- Collaborate with healthcare providers, insurance coordinators, and administrative staff to ensure smooth patient flow.
- Maintain strict confidentiality and compliance with HIPAA regulations.
- Identify process gaps and suggest workflow improvements to enhance efficiency.
1st Week Tasks:
- Get familiar with EMR systems, scheduling platforms, and CRM tools.
- Shadow patient calls and review common patient inquiries.
- Understand the intake process from first contact to appointment confirmation.
- Complete HIPAA and compliance training.
- Engage in mock patient interactions to refine communication and troubleshooting skills.
- Meet with healthcare providers to understand services and patient needs.
Requirements
Must-Haves:
- Excellent communication skills with a warm, empathetic, and professional speaking style.
- Experience in patient intake, scheduling, or healthcare customer service.
- High attention to detail to ensure accuracy in patient records and scheduling.
- Tech-savvy and adaptable, comfortable with EMR systems, scheduling software, and CRM tools.
- Ability to handle high call volumes while maintaining professionalism.
- Process-driven and proactive, always seeking ways to improve workflows.
- Trustworthy and compliant, with a solid understanding of HIPAA regulations.
Nice-to-Haves:
- Background in medical or healthcare administration.
- Familiarity with medical terminology to better assist patients and providers.
- Experience with healthcare insurance processes.
