Job description

About The Client:
Our client is a growing real estate investment business, currently managing 34 units and under contract for an additional 8. Our client's company is expanding rapidly, and we are seeking a highly organized, reliable, and detail-oriented Administrative Support Assistant to help them manage daily operations and ensure smooth communication with tenants, contractors, and other stakeholders. With a focus on expanding our portfolio and enhancing operational efficiency, we aim to scale up with the help of dedicated administrative and project management support.

Key Responsibilities:

  • Tenant & Contractor Coordination: Schedule and coordinate appointments between tenants and contractors for property repairs and maintenance. Example tasks include arranging plumber visits, confirming times with tenants, and ensuring contractors are on time.
  • Communication: Serve as the primary point of contact for tenants and contractors, ensuring clear and timely communication between all parties involved.
  • Calendar Management: Handle scheduling for property visits, meetings, and other time-sensitive tasks related to ongoing projects.
  • Document Management: Help manage and organize important property documents, contracts, and invoices.
  • Task Management: Assist in tracking and following up on ongoing property issues, from maintenance requests to tenant inquiries.
  • Administrative Support: Provide general administrative support to the team, including data entry, phone calls, email correspondence, and other tasks as needed.

Requirements

  • Strong Communication Skills: Ability to effectively communicate with tenants, contractors, and team members, ensuring clear and timely coordination. Fluent in English.
  • Organizational Skills: Must be moderately to above-average in organizational ability, with a focus on managing multiple tasks efficiently.
  • Property Management Experience: Experience in coordinating contractors, managing maintenance requests, and general property management tasks is a plus.
  • Tech Proficiency: Comfortable working with tools like Docusign, Google Docs and Microsoft Word/Excel for document management and task tracking.
  • Problem-Solving: Ability to find solutions to scheduling conflicts and other challenges as they arise.
  • Remote Work Ability: Ability to work independently, especially if working remotely. Must be self-motivated and able to manage time efficiently.
  • Adaptability: Willingness to take on new challenges and grow with the business as it expands.

Benefits

  • Client Relationship: You will be directly working with the client. This means that you will communicate with the client, provide services, and address any client-related matters independently.
  • Payment: All payments for your services will be handled directly by the client. Elevate and Delegate is not involved in processing your payroll. Your salary will directly go to you.
  • Vacation Leaves and Holidays: While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the discretion of the client. You are expected to align your schedule with the client's business needs and any specific policies or preferences they may have in this regard.

Salary: $1000 - $1400
