Job description

Are you an organized and detail-oriented Virtual Assistant with a passion for event and digital marketing? We’re looking for a proactive team player to handle event logistics, webinar coordination, and marketing tasks—all while keeping everything on track and meeting deadlines.

Responsibilities:

1. Webinar Management

  • Publish, promote, and manage webinars using GoToWebinar and other platforms.
  • Follow a detailed step-by-step process to ensure timely execution.

2. Event Coordination

  • Plan and manage event logistics for workshops, seminars, lunch-and-learns, and online events.
  • Handle registration outreach, confirmations, and related communication.
  • Report on registration metrics for internal review.

3. Email Marketing

  • Use HubSpot to craft and send marketing emails to prospects and clients.

4. Social Media Management

  • Maintain and contribute to a daily content calendar in Loomly.
  • Schedule and post event promotions, blog updates, and relevant tech news across platforms like LinkedIn, Facebook, X, and YouTube.

5. Reporting

  • Run registration and event reports to share insights with the team.

Requirements

  • At least 3 years experience in virtual assistance, marketing, or event coordination.
  • Experience in event marketing, including online and field-based events (workshops, seminars, webinars).
  • Proven ability to work independently and meet deadlines consistently.
  • Strong attention to detail and ability to follow established processes.
  • Advanced proficiency in spoken and written English.
  • Familiarity with traditional B2B marketing tools and strategies.

Tools & Platforms

The ideal candidate should be proficient in:

  • Event Platforms: GoToWebinar, Eventbrite
  • Marketing Tools: HubSpot, Loomly
  • Design Tools: Basic knowledge of Canva or Photoshop to create simple graphics.
  • Collaboration Tools: Microsoft 365 Stack (Outlook, Teams, etc.)
  • Social Media Platforms: LinkedIn, Facebook, X, YouTube
  • Others: ZoomInfo
  • Strong familiarity with HubSpot is highly desired.
