Job Role: Administrator Purchasing Officer
Work Schedule: Monday - Friday 9 AM - 5:30 PM (AU Time Zone)
Salary range:             $1000 - 1100 AUD

Who The Client Is: The company has decades of experience in residential construction, specializing in new home builds, extensions, and renovations. Their expertise includes kitchens, bathrooms, and traditional timber framing, blending craftsmanship with modern design principles. They offer a range of custom projects, from European-style barns to external studios and personalized living spaces, catering to diverse client needs. 

Role Overview: We are looking for a highly organized and detail-oriented Administrator in supporting the Director and ensuring the smooth operation of all departments. Their responsibilities span daily operations, company development, documentation management, and assisting with project workflows.

Key Responsibilities:

  • Daily Operations:
    • Manage Wunderbuild updates, timesheet reviews, and Xero reconciliations.
    • Address urgent on-site issues and notify the Director.
  • Company Development:
    • Maintain and update policies, procedures, and training materials.
    • Support recruitment processes and employee development.
  • Departmental Assistance:
    • Provide administrative support to Accounts, Estimating, Marketing, and HR.
    • Ensure all departmental tasks are completed on time and accurately.
  • Project Oversight:
    • Track progress on all active projects.
    • Notify the Director of any delays, compliance issues, or budget discrepancies.
  • Communication:
    • Act as a liaison between departments and the Director.
    • Keep the Director informed with daily and weekly updates.

Administrator’s Goals

  • Ensure all daily tasks are completed efficiently to reduce the Director’s workload.
  • Maintain accurate and up-to-date documentation for all company processes.
  • Support department-specific tasks and ensure deadlines are met.
  • Provide clear and timely communication to the Director and team members.

Qualifications:

  • Prior experience in a Scheduling or Purchasing Officer role within the construction, real estate, or project management industry.
  • Proficiency in Excel, Trello, and project management tools such as Wunderbuild (or similar software).
  • Strong understanding of Google Drive and cloud-based file management systems.
  • Experience in supplier negotiations, cost management, and purchasing processes.
  • Ability to analyze costs and optimize purchasing efficiency.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication and stakeholder management skills.
  • Ability to multitask, prioritize workloads, and work efficiently in a remote environment.
