Job Description

As the Executive Assistant in this fast-paced, technology-driven aesthetics company, you’ll be at the heart of an exciting business transformation. You’ll directly support the founders as they navigate the challenges of rapid expansion, helping to streamline operations across multiple locations and ensure the smooth implementation of their innovative membership-based concept. Responsibilities
  • Manage and optimize the founders’ schedules, ensuring efficient time management and prioritization of critical tasks and meetings
  • Coordinate high-level meetings, both internal and external, managing all logistics and follow-ups
  • Act as a liaison between the founders and various stakeholders, including team members, partners, and clients
  • Assist in the product procurement process, helping to maintain optimal inventory levels across multiple locations
  • Support the expansion efforts by helping to organize and streamline processes for new location openings
  • Manage travel arrangements and itineraries for the founders as they oversee national expansion
  • Handle confidential information with the utmost discretion and professionalism
  • Contribute to the development and implementation of new operational procedures as the business scales
  • Assist in preparing reports, presentations, and other materials for executive meetings and investor communications
  • Proactively identify and resolve potential issues before they impact the founders’ productivity or business operations

Requirements
  • Proven experience as an Executive Assistant, preferably in a fast-growing startup or technology-driven environment
  • Exceptional organizational skills with the ability to manage multiple priorities in a dynamic, rapidly changing business landscape
  • Strong proficiency in English
  • Advanced skills in scheduling software, productivity tools, and general office applications
  • Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism
  • Excellent written and verbal communication skills, with the ability to interact effectively with all levels of the organization and external partners
  • Proactive problem-solving skills and the ability to anticipate needs before they arise
  • Flexibility to adapt to changing responsibilities and growing business needs
  • Experience in or passion for the aesthetics or beauty industry is advantageous but not required
  • Comfort with technology and eagerness to learn new tools and systems as the company evolves
